The League of Women Voters of Montgomery County Maryland (LWVMC), a local chapter of the nationwide League of Women Voters, seeks applicants for the position of Administrative Associate. The Administrative Associate supports the administrative and executive functions of LWVMC. This part-time position (30 hours per week) reports directly to the LWVMC President and assists other LWVMC leaders and members with administrative needs. The Administrative Associate is responsible for setting up events and meetings; handling data entry, website management, and reporting; and supporting presentations to and communications with members and the public. The ideal candidate is highly motivated, detail-oriented, and organized, with sound judgment and a passion for mission-driven work. This individual also must be a proactive problem solve who can anticipate needs, work independently as well as collaboratively with others, assist LWVMC members, exhibit strong interpersonal skills, uphold LWVMC’s mission, vision, and values, and adhere to its organizational culture.
Duties and Responsibilities include but are not limited to the following:
• Maintaining chapter platform (Club Express) and Microsoft cloud archive, developing expertise and learning new applications as needed
• Answering and routing calls and emails; maintaining LWVMC’s meeting schedule; handling mail; handling system and bulk emails through Club Express
• Providing administrative and logistical support for LWVMC monthly Board meetings, annual Board retreats, annual LWVMC all-member meetings, and sponsored events
• Interacting effectively, expeditiously, and respectfully with stakeholders, including LWVMC members as well as representatives from our statewide, regional, and national League of Women Voters organizations
• Generating reports, such as fundraising and membership
• Organizing and ordering office supplies as needed and ensuring that office equipment is in working order
• Handling sales of LWVMC merchandise, tracking invoices, and recording payments monitoring and recording donations under the guidance of the LWVMC Treasurer
• Training and supervising volunteers in the office
Skills required:
• Proficiency in Microsoft Word, Excel, Zoom, and PowerPoint
• Excellent time-management skills with ability to prioritize tasks and work on multiple projects simultaneously within specified deadlines
• Strong interpersonal and collaborative skills including flexibility and resourcefulness; attention to detail and process
• Excellent oral and written communication skills
• English language proficiency required; proficiency in other languages, especially Spanish, a plus
• Ability to promote and support an inclusive workplace environment for individuals of all backgrounds and diverse perspectives.
• Ability to handle sensitive and confidential information with discretion.
Preferred Skills:
Familiarity with Club Express or similar association management platform; Zoom,
Microsoft SharePoint, QuickBooks, Google Drive; Canva or other graphic design programs
desirable.
Education and Experience:
An associate degree is preferred. A minimum of one year working in an office environment
is required.
