Position Summary

The Associate Director of Operations is a crucial member of our Operations team, responsible for overseeing office activities in support of 3 departments and multiple campaign teams. Their primary roles include managing office operations, IT, and supply management, while also contributing to the development and implementation of efficiency-enhancing policies and procedures. We are looking for someone who is adept at building cross-team relationships and adapting swiftly to the dynamic nature of our mission and goals.

 As an Associate Director of Operations, your responsibilities will include:

 

Office Operations & Facilities Management (65%)

  • Managing and optimizing the physical office space, including space planning, maintenance, and facilities coordination, to ensure operational continuity.
  • Overseeing office supplies and inventory, ensuring timely restocking and cost-effective procurement.
  • Streamlining office processes and workflows to enhance productivity and employee satisfaction.
  • Addressing and resolving office-related issues and concerns, providing a comfortable, efficient, and safe workspace for all staff members.
  • Thoughtfully managing and developing the office operations team.
  • Cultivating and sustaining strong relationships with department stakeholders to ensure facilities and office operations positively contribute to their mission and goals.

IT/Tech Support (20%)

  • Serve as the primary point of contact and resource for IT; coordinating and sometimes delivering technical support to staff as needed.
  • Oversee external IT Managed Services vendor.
  • Developing and implementing policies, processes, and procedures in consultation with IT consultants and the Chief Operating Officer (COO).
  • Effectively tracking and managing organizational assets, such as computers and peripherals.

Policy & Process Development, Implementation, and Assessment (10%)

  • Actively contributing to the implementation and enforcement of operational policies across the organization; creatively facilitating education to stakeholders as needed.
  • Conducting in-depth analysis of existing operational processes and performance, and offering recommendations for enhancements when required.
  • Promoting ongoing, concise, and effective communication with all staff regarding crucial deadlines, priorities, and objectives related to operational policies and processes.

Project Management (5%)

  • Collaborating closely with the Chief Operating Officer (COO) to identify, plan, and execute strategic initiatives and special projects aimed at improving departmental effectiveness.
  • Preparing comprehensive project plans, timelines, and budgets, ensuring that all special projects remain on track and within scope.
  • Actively monitoring project risks and issues, escalating concerns to the COO when necessary.
  • Supporting the COO in engaging stakeholders, both internal and external, and fostering collaboration to achieve project goals.

  • Demonstrated capability to manage office projects, including the flexibility to provide in-office coverage as required, up to five days a week as needed.

Benefits

Comprehensive benefits package that includes 100% employer-paid health, dental, and vision insurance for employees (and their families). Employees are able to enroll in 401k retirement plan and are eligible for a 3% automatic contribution and up to a 3% employer match on 401k contributions. Employees are also eligible for pre-tax transportation benefits. Employees will receive 120 hours of vacation time, 80 hours of health leave, up to 2 days of casual leave, and 20 hours of volunteer leave annually. Employees will also receive 13 paid holidays throughout the calendar year. Employees are eligible for 12 weeks of paid family and medical leave after 90-days of employment.
