POSITION: Program Coordinator 

REPORTS TO: Manager, Programs

About the Position:  

The Program Coordinator (PC) is a remote, junior-level position. The PC is responsible for oversight of our chapter programs, including providing ongoing support to existing chapters and development of newer chapters. The PC ensures the successful delivery of our flagship program, an overnight summer camp, at all chapters that they oversee (9-10), in addition to year-round programs. Each camp serves a number of children ranging from 20-300+, some with multiple week programs. Each chapter fully fundraises (budgets ranging from $30,000-$300,000+) to host their overnight summer camp program as well as year round services; PCs are responsible for ensuring chapters meet camper and fundraising goals. The PC works in partnership with other PC’s, Managers of Programs, the Operations Team, and other Kesem Staff to drive the overall success of the program implementation.  Each PC reports directly to a Manager of Programs.

Lead and support college students through an experiential leadership program dedicated to supporting vulnerable children and their families through the social and emotional impacts of cancer. Help Kesem deliver a robust and year-long training curriculum to develop their skills in critical thinking, teamwork, public speaking, problem-solving, project management and financial management. Guide students to run chapters and lead committees, cultivating their talents and preparing them to serve as effective leaders wherever they go.

Essential Functions and Responsibilities 

This is not intended to be an exhaustive list. Other responsibilities and duties may be assigned. 


Leadership Development and Chapter Performance (50%)

  • Conduct virtual meetings with college student leader chapter Directors to answer inquiries, monitor progress, proactively identify and help solve potential problems.
  • Lead chapters to execute successful fundraising plans and maintain responsible finances, including setting and adhering to chapter budgets, developing revenue plans, providing administrative support on donor records and guiding chapter annual fundraising efforts including peer-to-peer campaigns and annual events. 
  • Support Kesem’s implementation of programs, adhering to standards, rules, policies, and aligning with our Diversity, Equity, and Inclusion vision and values. 
  • Manage student leadership transitions for chapters; select student directors (volunteers) for the chapters in your region each year.
  • Help achieve chapter adherence to Camp Kesem’s Operating Standards via tri-annual evaluations for each chapter.
  • Each summer, visit one or more of your chapters’ camp sessions to help ensure camp programming is being delivered in accordance with organizational guidelines and policies.
  • Review and negotiate chapter-binding contracts with guidance from a manager.
  • Manage other volunteers and constituents (ie, nurses, mental health professionals, and advisory board members) who will support each chapter.
  • Ensure chapter compliance with state laws, regulations, and any relevant licensing requirements
  • Coordinate background checks and training for all attendees of camp.
  • Launch new camp and year-round programs according to Camp Kesem’s growth plan.
  • Maintain up-to-date knowledge of best practices in the camping and nonprofit industry as resources are provided to you by the Operations Leadership Team.
  • Help to facilitate and cultivate relationships with local chapter community contacts including cancer support services, Advisory Board members, hospitals, and universities.  
  • Support chapters in creating and executing equitable and inclusive outreach plans for both camper families and volunteers. 
  • Serve as Hotline Operator for the camp season 24-hour Hotline.


Administrative Work, Systems and Reporting (30%)

  • Use Salesforce, Classy, and other applications to track chapter metrics. 
  • Ensure chapter workbooks and internal systems are updated consistently and accurately according to expectations
  • Use Hive project management system to track action items and progress toward goals.
  • Provide chapter progress reports to a Manager, Programs on a weekly basis.
  • Help chapters in your region implement provided tools and systems to efficiently manage workload.
  • Work in partnership with the chapter to coordinate chapter system-related activities (i.e., student reimbursement requests, Classy page requests, donor acknowledgements, etc.).
  • Ensure accurate data output from chapters and regularly perform data quality control and clean up 


Student Leader Training (20%)

  • Each fall, visit select chapters in your region to provide on-site training. Provide virtual training to the rest of the chapters in your region.
  • Each spring, provide supplemental virtual spring training. 
  • Provide year-round, remote training on how to implement Kesem’s programming and conduct fundraising (ie, updated camp programming and Giving Tuesday planning).
  • Plan, organize, and present sessions for Camp Kesem’s National Leadership Summit for our student leaders.


Desired Qualifications

  • Must be able to inspire, relate to, and lead college student volunteers.
  • Strong written and interpersonal communication skills.
  • Experience recruiting and retaining diverse teams of volunteers, conducting outreach and increasing diversity among program participants, and ensuring the delivery of equitable and inclusive programs. 
  • Experience working in teams with people from a variety of racial, ethnic, socioeconomic, educational, religious, sexual, gender, and generational backgrounds.
  • Highly organized, flexible, and creative. Excellent time management skills, with the ability to switch between administrative responsibilities and relationship-based interactions with ease. 
  • Strong technical skills including advanced use of Google Drive Suite. Ability to quickly learn and master new systems autonomously.
  • An orientation towards learning and development; willing to learn from mistakes, receive feedback, and give feedback to others.


Qualifications 

  • Bachelor’s degree preferred.
  • Preference given to individuals with at least 1 year out of school.
  • Camp and/or youth development experience.
  • Experience managing volunteers. 
  • Experience successfully leading peer-to-peer fundraising efforts. 
  • Advanced team-building skills including conflict management, problem-solving, effective communication, organizational skills, developing others, motivating others, giving direction and managerial courage. 
  • Program development and project management experience, including experience working on large-scale projects from conception to completion. Leading remote volunteer teams is a strong plus. 
  • Experience using camp registration or donor database systems such as Salesforce is a strong plus.
  • Bilingual in English and Spanish a plus. 


Job Environment

  • The Program Coordinator role is a full-time and remote position, with responsibilities that require 40-50 hours of work per week, and some weeks requiring more.
  • It is expected that the Program Coordinator will be available for chapter and staff calls, meetings, donor events, and committee calls, which may occur outside of normal work hours.


Location & Travel

  • This is a remote position. Location for this role is flexible. Candidates must live in an area with easy access to a major airport within the continental United States. 
  • Kesem will provide a laptop computer and cell phone. 
  • PCs should expect to travel extensively, all within the United States, as follows:
  • June through August: From three days to up to three weeks of travel to visit camps
  • September through November: Up to 80% travel to visit each chapter’s college campus to conduct fall training, attend National Leadership Summit, and attend internal staff training.
  • December through May: up to 20% travel to visit some chapter’s college campus to conduct spring training and attend internal staff training.
  • All approved work-related travel expenses are covered by Kesem.


Compensation 

The salary range for this position is $45,176 - $51,479.  Placement on this range would be based on relevant professional experience in a similar career level role.
