    Descripción

    Our client, a global non-profit organization dedicated to building thriving and resilient communities, is seeking a seasoned and mission-driven professional to serve as their Executive Assistant & Operations Manager. This hybrid position is based in the Washington, DC area and plays a critical role in driving operational excellence and supporting executive leadership.

    The Executive Assistant & Operations Manager will serve as a strategic partner to the Executive Director, providing high-level administrative support, enhancing organizational operations, and ensuring effective governance and Board engagement. The ideal candidate is proactive, detail-oriented, and thrives in a fast-paced, virtual environment with a collaborative team culture. Due to the organization’s global scope, the ideal candidate must be flexible and willing to work non-traditional hours to support international operations and stakeholders across various time zones.

    KEY REPONSIBILITIES

    Executive Support (60%)

    • Manage the Executive Director’s calendar, meeting preparation, and correspondence.
    • Anticipate needs and manage priorities to optimize the Executive Director’s time.
    • Serve as liaison between the Executive Director and internal/external stakeholders, managing inbox communications and ensuring alignment.
    • Draft, edit, and manage high-level communications and presentations.
    • Contribute to the creation of materials including Board decks, annual reports, newsletters, and impact updates.
    • Coordinate external engagements, speaking events, and strategic partnerships.
    • Conduct background research and data analysis for meetings and projects.
    • Maintain confidentiality and professionalism in all interactions.
    • Serve as the primary point of contact for the Board of Directors and committees, managing logistics, communications, materials, and records.

    Operations Oversight (40%)

    • Oversee daily organizational operations and internal processes to ensure efficiency and alignment with strategic goals.
    • Manage administrative systems including supporting the finance team in purchasing and tracking vendors, HR support, IT coordination, vendor relations, and office (virtual or physical) management.
    • Support implementation of cross-functional initiatives and special projects.
    • Serve as a thought partner to the Executive Director on operational strategy and organizational effectiveness.
    • Maintain and update organizational policies and ensure regulatory compliance.
    • Assist with website updates and support social media and digital engagement efforts.
    • Manage organizational documents, charitable ratings, and external information requests.

    REQUIRED EXPERIENCE AND SKILLS

    • 7–10 years in a senior administrative, executive support, or hybrid operations role.
    • Demonstrated success supporting executive leadership and interfacing with Boards and senior stakeholders.
    • Proven ability to manage multiple priorities in a remote, fast-moving environment.
    • Expertise in Microsoft Office Suite, Google Workspace, virtual platforms (Zoom, Teams), and project management tools (e.g., Asana, Slack, Monday.com, etc.).
    • Familiarity with CRM systems (Air Table preferred), social media tools, and cloud-based collaboration platforms.
    • Experience in the nonprofit, philanthropic, or mission-driven sectors strongly preferred.
    • Willingness and availability to work outside traditional business hours as needed to accommodate global time zones.
