Job Title: Administrative Assistant
Location: New York, NY (Hybrid: onsite and remote)
Job Type: Full-time
Salary: $55,000 - $65,000 annually, depending on experience

About Huru International and AmericaShare
Huru International is a nonprofit organization dedicated to keeping girls in school during their periods by providing locally made, high-quality reusable menstrual pads at no cost to the beneficiaries, together with comprehensive menstrual and reproductive health education. Based in Nairobi, Kenya, and New York, USA, Huru works in schools and underserved communities across Kenya and East Africa to help girls stay healthy, confident, and engaged in their education.
Since 2008, Huru has reached hundreds of thousands of girls and young women with reusable menstrual pads and critical health education. Huru also operates a Skills Development Program in Nairobi that provides vulnerable youth with vocational training in industrial sewing and tailoring, helping prepare participants for future employment opportunities.
AmericaShare is a non-profit organization founded over 40 years ago. Our mission is to provide vulnerable children with access to learning resources and quality education in Nairobi, Kenya, and Cape Town, Southern Africa. Our libraries and computer centers are filled with children reading, studying, and gaining vital computer skills. AmericaShare also provides school scholarships opportunities to deserving and needy children.
Position Summary
We are seeking a highly organized and detail-oriented Administrative Assistant who directly reports to our Founder and Executive Director and supports the AmericaShare and Huru teams. This hybrid role involves both remote work and onsite presence in our New York City office. The successful candidate will independently manage multiple tasks, coordinate with internal teams and external stakeholders, be skilled at building strong collaborative relationships with Huru’s team in Kenya, AmericaShare, and Micato Safaris and provide exceptional administrative and logistical support to ensure smooth daily operations. Accuracy and timeliness are essential.
Key Responsibilities
- Support our Founder/Executive Director with managing Huru’s US Board of Directors, including organizing meetings, taking notes, distributing summaries, and ensuring follow-up actions are completed. Also help with individual BOD member communications, as well as compiling and preparing regular updates.
- Maintain Founder/Executive Director’s personal donor communications, including responding to inquiries, drafting personalized thank-you notes, and donor stewardship activities.
- Prepare detailed donor briefings, compiling background information, donation histories, and key talking points to equip leadership for calls and meetings with VIP donors.
- Track Founder/Executive Director post-calls/meeting follow-ups, record details in donor database.
- Provide administrative support to the Founder/Executive Director, managing her calendar, scheduling meetings, tracking timelines and follow-ups.
- Support VIP stewardship and manage special gifts and acknowledgments from leadership.
- Facilitate communication and coordination across Huru's U.S. and Nairobi teams.
- Answer the organization's telephone line, manage inquiries, and follow up on messages from the general mailbox.
- Manage and respond to email messages received in the organization's general inbox, ensuring timely and professional communication.
- Assist in maintaining and updating detailed records in our donor database.
- Support team meetings by preparing agendas, taking notes, distributing summaries, and ensuring follow-up actions are completed.
- Assist the team with vendor management and procurement of supplies related to donor stewardship efforts.
- Handle sensitive and confidential information with discretion and professionalism.
- Provide general support to the team, where and when needed.
Qualifications and About You:
- Bachelor’s degree and 5+ years of relevant experience in an administrative, development, communications, or related role, preferably within a nonprofit organization.
- Outstanding written and verbal communication skills, with demonstrated ability to write effectively across a variety of mediums and connect with diverse audiences, including donors, grantors, VIPs, board members, and internal teams.
- Experience cultivating donor relationships and supporting efforts to drive charitable giving.
- Excellent organizational skills with exceptional attention to detail, accuracy, implementation, and follow-through.
- Demonstrated ability to manage multiple projects, priorities, and deadlines in a dynamic, fast-paced environment.
- Proven ability to work independently and proactively while collaborating effectively across teams.
- Experience working cross-functionally, particularly with marketing and finance, to support donor engagement and broader organizational goals.
- Ability to exercise sound judgment and discretion when handling confidential and sensitive information and records.
- Proficiency in Microsoft Office and Google Workspace.
- Experience working with CRM systems. (Bloomerang preferred)
- Strong interest in nonprofit work, international development, education, and/or youth empowerment.
Requirements:
- Must be located within the tri-state area for hybrid work arrangement.
- Must be available to work onsite in our NYC office.
