Title: Administrative Assistant (full-time or 80% schedule)
Reports to: Director of Finance and Administration
Non-Exempt Salary: $60,000-63,000 for full-time schedule (35 hrs/wk) or $48,000-50,400 annually for part-time schedule (28 hrs/wk)
Location: NCLEJ’s office is located in Financial District, NYC. This position will be primarily on-site, with flexibility for some hybrid/remote work.
NCLEJ’s Mission:
NCLEJ advances economic, racial, and disability justice for low-income families, individuals, and communities across the country, using ground-breaking impact litigation, policy advocacy, and support for grassroots organizing. NCLEJ works to build systems that provide economic security, respect human dignity, and enable everyone to participate fully in our society. Specifically, our advocacy focuses on 1) safeguarding access to public benefits; 2) advancing the rights of lower wage workers; 3) combatting abusive debt collection and wealth extraction; and 4) advocating for disability justice, all of which we do through a racial justice lens. We litigate extensively in federal and state courts across the country, typically as lead counsel in class actions, and we partner with grassroots and community-based organizations, other legal organizations, and the private bar to achieve our mission.
Administrative Assistant’s Role:
The Administrative Assistant will provide general support to NCLEJ’s small and busy staff, primarily assisting the Director of Finance and Administration and working alongside the Administrative Coordinator. We are looking for a highly organized, efficient, proactive individual who takes pride in keeping office systems running smoothly. The ideal candidate is calm, level-headed, a great problem-solver, and happy to ask questions.
We are open to candidates who are interested in either a full-time schedule (35 hours per week) or a part-time 80% schedule (28 hours or 4 days per week). Benefits are available with both schedule options.
Primary responsibilities include:
- General administrative support as needed;
- Serve as receptionist (along with Administrative Coordinator), including answering phones and greeting visitors, checking main voicemail and email, and monitoring office calendar and staff schedules;
- Contribute to general office upkeep, including special projects such as assisting with décor;
- Track and order office & kitchen supplies as needed;
- Take notes/minutes at staff, committee, and board meetings;
- Plan and organize staff events (happy hours, office lunches, staff retreats, etc);
- Communicate with building management regarding repairs/maintenance and visitor lists;
- Assist with scheduling meetings for management team, other staff, and Board committees;
- Make travel arrangements as needed;
- Possible basic development- and finance-related tasks, including data entry, expense tracking, prospect research, and special event support;
- Maintain and update office systems reference guides and digital file organization; and
- Assist with researching potential office system improvements.
Qualifications and experience of the ideal candidate include:
- 1-3+ years of relevant experience, ideally at nonprofit organizations;
- Commitment to racial and social justice and NCLEJ’s mission;
- Ability to take initiative, be highly organized and detail-oriented, and possess strong interpersonal and time-management skills;
- Passion for organization and efficiency. An interest in creating aesthetically pleasing spaces is a plus (professional design background not necessary);
- Ability to work independently as well as within a team while maintaining a high level of professionalism;
- Ability to work effectively with colleagues and clients from a great diversity of backgrounds;
- Strong written and verbal communication skills; and
- Proficiency in software including Microsoft 365 Suite (especially Word, Excel, Teams, and Outlook), Adobe Acrobat Pro, and Zoom. Additional helpful skills include experience with CRM databases.
