Position Overview
Reporting to the Senior Manager, Program, the Program Coordinator will support the coordination of distributing essential items to partner organizations across the western region. This role is responsible for supporting day-to-day program operations by maintaining databases, processing donation requests, and coordinating item distribution logistics. The ideal candidate is highly organized, detail-oriented, and comfortable in a fast-paced, mission-driven environment.
The Program Coordinator will work at Baby2Baby’s HQ. The work is performed in an office setting and is currently on site 3-5 days per week with potential visits to partner organizations.
Duties and Responsibilities
- Serves as a key liaison for partner organizations, managing communications and providing support.
- Collects donation requests from partner organizations, synthesizes needs, and enters data into Baby2Baby’s warehouse management system to help facilitate accurate and timely distribution.
- Maintains and updates partner databases, ensuring accurate tracking of organization and contact information.
- Coordinates enrollment for specialized bundle programs, working with internal departments and partner organizations.
- Monitors current events and news to contribute to the weekly news report, helping the team stay informed on emerging issues affecting the communities we serve.
- Supports Senior Program Manager with researching and vetting new partner organizations.
- Participates in and coordinates orientations for new partners on Baby2Baby programs and procedures.
- Participates in the execution of regular in-person distribution days along with community site visits.
- Supports development and programmatic events such as annual distributions and volunteer sessions, as needed.
- Performs additional duties as assigned.
Required Qualifications
- Bachelor’s Degree or equivalent combination of education and relevant experience
- 2 or more years of experience in a program support, operations, or a related role.
- Demonstrated ability to manage multiple projects and maintain accuracy.
- Strong organizational skills with a key attention to detail.
- Proficiency with Google Workspace and Google Sheets.
- Strong commitment to Baby2Baby’s mission and values.
Preferred Qualifications
- Conversational Spanish language skills.
