POSITION DESCRIPTION

THE CHISHOLM LEGACY PROJECT SUMMARY

The mission of the Chisholm Legacy Project is rooted in the Just Transition Framework. The project serves as a vehicle to connect Black communities on the frontlines of climate justice with resources to traverse the path from vision to strategy to action plan to implementation to transformation. In support of frontline leadership, the project seeks to link movements and mainstream entities with the tools necessary to advance systems change centered in equity and justice. With Black femmes on the frontlines of advancing systems change, this project ensures that these leaders have the support they need as they transform society from extractivism to a living economy that cares for sacred relationships between people and with Mother Earth, through regenerative, cooperative, democratic systems.

SUMMARY OF POSITION

The Chisholm Legacy Project IT/Administrative Director (ITAD) will support the Chief Operating Officer and Department in maintaining the efficiency of the Operations department’s management systems, and digital processes. Dedicated and enthusiastic team player with strong organizational, communication, administrative/technological skills and prioritization abilities.  Assist the COO in improving the organization’s processes, streamlining procedures, and monitoring the digital infrastructure and activity.

Supervisory Responsibilities:

  • Co-supervisory responsibilities of the department’s Operations Associate

INTRANET MANAGEMENT:

  • Responsible for day-to-day operation and management of the company Intranet; maintaining visual design, site navigation and site content.
  • Process requests made through portal links.
  • Manage the homepage departmental subsites with Web Designer to maintain a proper balance of relevant content and tools; monitor content for appropriateness
  • Collaborate with COO on lead projects to improve sections and new tools on the Intranet
  • Liaise with IT Consultants on technical questions of implementation and upgrades
  • Work closely with key departmental leads to understand their needs and
  • involve them in development, problem solving and maintaining their respective
  • active communities
  • Provide training as needed to departmental staff
  • Monitor site analytics and report on key performance indicators

SHAREPOINT MANAGEMENT:

  • Contribute to improving effectiveness of TCLP information and document governance.
  • Responsible for all aspects of the design, development, utilization, operations, administration, basic training, security and support of SharePoint infrastructure. 
  • Understand TCLP’S collaboration, workflow, data, and document management requirements and opportunities.
  • Work closely with organization’s teams to analyze and determine departmental requirements; determine the most effective taxonomies to address departmental needs and maximize search capability.
  • Review existing SharePoint infrastructure and solutions; identify and address any architectural
  • deficiencies.
  • Provide staff and departmental support and encourage full adoption of usage by staff. Train departmental staff on basic functionality and provide training materials and other available resources.
  • Manage departmental permissions – restrict and revoke access as required.
  • Support COO to customize and maintain landing page to encourage traffic and staff adoption. Monitor site usage and follow up on dormancy on a regular basis. Monitor to ensure workflow and tasks are working correctly.
  • Monitor site analytics and report on key performance indicators

ADMINISTRATIVE SUPPORT:

  • Work with COO in developing and refining systems of running the daily activities of the organization.
  • Manage and maintain all department databases.
  • Review performance data trends
  • Identify and recommend updates and expansions to technology, equipment, and policies that may improve virtual infrastructure.
  • Gather analytics and performance metrics from software apps and subscription for cost effectiveness for COO evaluation.
  • Drafts, submits, and presents various performance reports.
  • Monitor and respond to staff requests in Tech mailbox
  • Collaborate with COO and senior Operations staff to draft and implement an annual administrative budget.

IT OVERSIGHT:

  • Liaison with IT consultant in maintaining technological infrastructure and oversight of systems
  • Keep apprised of new network technology and cybersecurity methods and approaches; report information to the COO
  • Working closely with department Managers to assess the growth, needs and maintenance of the company’s network
  • Collect, analyze, and summarize status of infrastructure and prepare monthly report
  • Review diagnostics and assess the functionality and efficiency of systems
  • Ensure appropriate security measures
  • Offer minor technical support to company staff and troubleshoot computer problems
  • Anticipate and report the cost of replacing or updating computer items
  • Assist COO in planning timeline and resources for organization’s IT needs.

WEBSITE OVERSIGHT:

  • Liaison with Web Designer; responsible for overseeing maintenance of TCLP website
  • Participate in meetings with Project Managers and staff to identify requirements and project goals for Web Designer
  • Initiate process of requests with Web Designer on behalf of staff
  • Communicate with department teams throughout the design process
  • Ability to adhere to processes and deadlines
  • Oversee updates and maintenance of the site, monitor functionality issues, including removal of “dead links”
  • In collaboration with COO and Web Designer, co-develop, implement, and maintain high-quality policies and incorporate with content produced for the website
  • Create metric reports on usage

Performs other related duties as assigned.

SKILLS, EXPERIENCE, AND EDUCATION QUALIFICATIONS

The ideal candidate for this position will possess many, if not all, of the following qualifications:

·       Strong understanding of web, intranet and SharePoint principles

·      Fundamental knowledge of HTML and CSS or other programming languages helpful

·      Fundamental knowledge of Wordpress helpful

·      Proficiency in current and trending software applications to further advance organization’s virtual infrastructure.

·      Proficiency with Advanced Microsoft Office Suite mandatory.

·       Advanced knowledge of all social media platforms

·       Working knowledge of Canva and Photoshop, the full Adobe Creative Cloud; suite and

video editing software is a plus.

·       Ability to perform well under pressure and under short deadlines

·      Great project management skills, including organization, planning, time management and prioritization

·      Well-organized and self-starter

·       Ability to effectively collaborate with other team members.

·      Ability to maintain confidential records

·      Strong skills in problem-solving and collaboration with cross-functional team members

·      Ability to adhere to processes and deadlines

·       Knowledge of advocacy movement work and nonprofit organizational needs.

TRAVEL

There will be at least four travel events per year for all employees. Additional travel by position will be based on each employee’s responsibilities.

LOCATION

Remote - Work may be performed anywhere in the contiguous United States during normal TCLP working hours. Reliable internet is required.

INTRODUCTORY PERIOD

The first 90 days (approximately 3 months) of employment with TCLP will serve as an

Introductory Period during which the suitability of the position with a new

employee’s skills, communication, performance, planning, and ability to manage

goals will be assessed.

COMPENSATION AND BENEFITS

The annualized salary for this position is $110,000.
