Events Manager

The Events Manager will be responsible for planning, coordinating, and executing a variety of events to support Inclusiv’s mission and its membership with particular focus on its annual conference. 

This position will be responsible for overall project management, from the early pre-planning stages through final billing and operational execution and will be responsible for managing various meetings and events at any given time. Project management work will include, but will not be limited to, creating and leading logistics and production teams, project budget creation and reconciliation, collaborating with internal associates and external partners, managing project timelines, and contract negotiations either in collaboration with Inclusiv’s operations and network team.

We are looking for a dynamic, highly organized, detail-oriented person with the desire to design, manage and lead major events for our leading national association.   The Events Manager will be responsible for selecting an outside support team, manage internal colleagues to develop content, organize the schedule of sessions and activities throughout multi-day conferences and events, and to build a strong team of internal and external support providers to deliver high quality events.

This position is based in New York City but will consider remote candidates.

Primary Responsibilities

Event Planning and Execution:

- Plan and execute a diverse range of events, ranging from small gatherings, networking events, and our annual conference;

- Coordinate logistics, including venue selection, catering, registration, budget management, etc.;

- Oversee event setup, execution, and breakdown. Ensure all activities run smoothly and address any issues that arise promptly;

- Serve as the main point of contact for assigned events for external partners and ensure a positive experience for all participants;

- Evaluate and assess the effectiveness of events for continuous improvement;

- Support sponsor relations;

- Setup and maintain registration;

- Serves as the primary point of contact for speakers, venues, as may be required for each program or event;

- Maintains annual program and event calendar for internal staff, on website, and in other mediums as may be required;

- Participate with staff to create event themes when needed;

- Communicate with staff regarding event flow, procedures, and onsite responsibilities, as needed;

- Develop event budgets and manage expenses to ensure cost-effectiveness.

Data Management:

- Monitor analytics and track event performance to optimize future events;

- Maintain accurate records of event expenses, attendance, and other relevant data;

- Prepare post-event reports and recommendations for future improvements;

- Maintain accurate and up-to-date program-related databases, ensuring information is organized and easily accessible when needed;

- Maintain Salesforce database and master events calendar, including campaign (event) details, updating leads, final attendee lists, expenses and other details as needed;

- Develops, sends, and reports on post-event surveys for future improvement and program topics.

Qualifications

• Commitment to Inclusiv’s mission to help low- and moderate-income people and communities achieve financial independence;

• Bachelor’s degree required;

• At least 5-7- years of professional experience with at least 3 years relevant experience with event planning;

• Strong project management and organization skills; experience effectively managing multiple staff and projects across different internal and external constituents to drive results;

• Demonstrated ability to establish and build relationships with a diverse array of people and organizations;

• Dynamic, self-starter with high attention to detail;

• Highly consultative, able and eager to engage multiple stakeholders with divergent points of view and define a path forward;

• Dedication to always producing the highest quality work and motivation to constantly seek new and better ways to reach goals;

• Bilingual in English and Spanish highly preferred.

Salary Range: $80,000-95,000 annually. The salary range for this position is commensurate with experience.
