Vibrant, creative Advancement Team looking for a collaborative, talented and highly motivated colleague to work with our team and support our mission.
Responsibilities:
Collaborate with the Chief Advancement Officer, CEO, Finance team, and Advancement team as assigned to create, track, and update standard operating procedures (SOPs), including:
- Development and Finance reconciliation of accounting and Raiser’s Edge systems
- MAB’s Gift Acceptance Policy, donation processing and documentation for gift entry.
- Donation acknowledgment letter process, criteria for donation acknowledgment letters, analysis and reporting and pledge process and reminders.
- Donor stewardship, mailing, email, and phone lists.
Approximate breakout of responsibilities:
Donor and Revenue Analysis (10%)
- Collaborate with the Chief Advancement Officer and consultants as assigned to review, rate, evaluate, and recommend current, lapsed, and long lapsed donors.
Stewardship (10%)
- Create and execute a system for welcoming, engaging, and retaining new donors.
- Create and execute a recurring donation society.
- Lead the planning and execution of the annual Valentines project.
- Complete other stewardship projects as assigned.
Gift Processing/Database Management (45%)
Administrative (10%)
- Board of Directors Management
- Weekly Team Meeting Preparation/Execution
- Prepare weekly Advancement Team meeting agendas with accurate financial updates, participants, date, and times.
Other (15%)
- Communications content advisement and review, as assigned.
- Email setup and distribution, as assigned.
- Special Events Support
- Provide support as needed for all annual and special events including, but not limited to:
- Event invite/registration/attendance lists
- Volunteer and event coordination
Annual events include:
- Valentines – February
- Pratt Lecture Series – March
- Boston Marathon – April
- Spring Appeal – May/June
- Calendar Year-End Appeal – November/December
Qualifications
- Bachelor’s degree plus minimum of two years of relevant work experience, or an Associate's degree plus minimum of four years of relevant work experience
Relevant experience includes:
- Flexibility to support a fast-paced work environment
- Maintaining donor confidentiality and safeguarding donor data integrity
- Donor relations and outreach, primarily with new donors, consistent donors, and recurring giving prospects
- Experience with nonprofit donor database management
- Engaging in training about donor database management, recommending and executing software upgrades
- Keeping development operations standard operating procedures updated, annually, at a minimum, and overseeing their evaluation and execution
- Updating written procedures regarding donor database management and training Development staff in the database as appropriate
- Providing reports for senior staff including philanthropic revenue, progress toward fiscal year private revenue goals, cash received, pledges paid or overdue
- Partnering with Development and Finance on reconciliations and audits of private philanthropic pledges, donations, grants, and sponsorships
- Supporting leadership in setting and achieving fiscal year philanthropic revenue goals
- Performing prospect and donor research
- Rating private individual and family prospects and donors based on relationships, philanthropic history, and capacity to donate as appropriate or assigned
- Reviewing and updating donor portfolio assignments to gift officers at least bi-annually
- Leading or supporting volunteer management as assigned
- Providing events support as assigned
