Description

The Role of the Accounting and Grants Coordinator

The ideal candidate enjoys working across multiple staff departments to provide administrative support and foster a positive work environment.  The individual in this position will be responsible for fiscal oversight of all grants received, recording of all income, invoicing customers/grantors, collecting payments and coordinating deposits. They will maintain documentation of all grants awarded, work with departments to ensure adherence to grant requirements and remain within approved budgets. This is a new position to the organization so will require initiative to help define and clarify roles and responsibilities.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Accounts Receivable (50%)

  • Review grants applications, awards, and budgets to ensure proper recording of revenue
  • Prepare and submit customer invoices for grants, contracts and donations
  • Code, post and receive payments
  • Prepare and coordinate deposit activities
  • Monitor customer accounts for non-payment and delayed payment
  • Comply with accounting policies and procedures and make recommendations for process improvements when appropriate
  • Work with Director of Finance to respond to all requests from auditors by collecting necessary information, documents and files

Grants Coordinator (45%)

  • Provide grant administration, including for federal and state grants, to include reporting, reimbursement requests and code of expenditures
  • Work with staff to ensure all grants are recorded properly by expenditure category, and that all grant monies are spent in accordance to grantors guidelines.
  • Collaborate with staff to pursue new grant funding opportunities.
  • Ensure consistency between grant tracking system and accounting database
  • Track grant reporting deadlines and works with staff to submit all required reports
  • Submit timely financial reports for federal, state and private funding
  • Maintains copies of all grant records
  • Provide monthly grant reporting to leadership team
  • Ensure procurement procedures for grant-funded projects are followed.

Organizational (5%)

  • Assist GLT staff with fundraising, events, and general operations 
  • Participate in organizational planning initiatives and trainings 
  • Cross-train with other members of the Finance – Admin Team to provide additional support, as needed

Skills, Knowledge and Experience Required 

  • Knowledge and proficiency in accounting  
  • Bachelors in accounting or a closely related field and four years of related experience, or an equivalent combination of education/experience     
  • Experience with grant funding and contract administration, preferably including governmental sources
  • Accounting software proficiency, preferably QuickBooks      
  • Skilled with Microsoft Office programs, particularly excel      
  • Maintain quality results by using templates, following procedures and proposing process improvements and ensuring appropriate documentation
  • Excellent written and verbal communication skills
