Since 2012, EveryoneOn has connected more than one million students, adults, seniors, and veterans from across 48 states and provided them with improved access to best-in-class educational and digital literacy resources, job readiness training, and critical financial and governmental services. Our model drives meaningful broadband adoption and digital readiness among unconnected populations with unprecedented scale by leveraging cross-sector partnerships with internet service providers (ISPs), community-based nonprofits, schools and school districts, and public-sector agencies, including Federal Communications Commission (FCC), the Department of Housing and Urban Affairs (HUD), and the Department of Veteran Affairs (VA). 

About the Role

The Program Operations Coordinator will support the day-to-day administration, operations, and logistics of regional and national digital inclusion programs across the organization. This role will work closely with the Director of Operations, the programs team, and other cross-functional teams to support the implementation of programs that help people acquire the digital skills and knowledge they need to participate fully in society. The role does not have direct reports but is responsible for operationalizing EveryoneOn’s programming efforts, supporting the organization in achieving milestones and deliverables through a partnership with the California Public Utilities Commission (CPUC), as well as other strategic partnerships. 

Key Responsibilities

Operational Support 

  • Under the supervision of the Director of Operations, provide technical and operations support, systems and network administration for day-to-day operational and administrative functions 
  • Manage the programs team device ordering process from start to finish:
  • Create and oversee the device ordering form, with our device partners
  • Operationalize and streamline the delivery process: act as a liaison between the program staff and partner organization, ensuring all steps are documented and completed according to policy 
  • Track and monitor device shipping, troubleshoot bottlenecks and delays and provide status updates to the program staff
  • In coordination with the accounting department, process payments
  • Maintain an ordering database and create reports for donors and other stakeholders 
  • Organize and oversee place-based storage unit accounts, inventory tracking, and provide logistical support to the program staff in place-based locations upon request  
  • Develop operations task lists and projects in Asana to coordinate responsibilities, assign tasks, and track and coordinate deliverables
  • Serve as a backup for operations and internal administrative functions, as assigned

Program Support 

  • Coordinate and lead the recruitment, selection, and onboarding process for new Digital Skills Instructor contractors, in collaboration with the programs team
  • Maintain an up to date Digital Skills Instructor roster
  • Review and approve program-related overnight business travel requests, related expense reimbursement requests, and address questions before submission to the Director of Operations for final approval 
  • Attend and contribute to grant kick-off meetings
  • Attend weekly programs team meetings to stay up to date on program activity timelines and milestones
  • Discuss and review administrative and operational requests with the Director of Operations; plan and implement as necessary
  • Establish and maintain effective and positive working relationships and communication with all cross-sector partners, vendors, and other stakeholders
  • Upon request, support in the scheduling and coordination for specific digital inclusion activities, including digital skills training and capacity-building training for diverse organizations 

Administrative and Data Management

  • Provide analytical and project management support to the programs team, including identifying program/project management systems needs and updates
  • Contribute to data collection and reporting processes
  • Maintain internal tools and support the Director of Operations with reviewing the Operations accounts and monthly expenses as appropriate
  • Collaborate with the Vice President of Programs and Strategy and programs team to customize and implement evaluation tools 
  • Register and maintain EveryoneOn accounts in partner portals and online systems as requested

Technology and Tools

  • Transfer Zoom and other video recordings of virtual digital skills training to the Vimeo cloud storage, as required by place-based program managers
  • Maintain and update place-based Zoom accounts, cloud storage capacity for virtual digital skills classes, and provide regular updates to cloud storage policy 
  • Assist in organizing the EveryoneOn General, programs, and Operations folders in the Google Drive
  • Recommend, execute, and manage improvements to EveryoneOn’s technology tools
  • Serve as a backup to Google Workspace Suite, Drive & Technology in coordination with the Director of Operations and EveryoneOn’s Technology Service Provider 
  • Manage occasional outsourced software projects (for example, revisions to our current software)

Qualifications & Skills

  • Commitment to diversity, digital equity, and the mission and work of EveryoneOn
  • Experience working with diverse populations, including under-resourced communities of color and tribal populations
  • Bachelor’s degree, or equivalent experience
  • 2-5 years of professional experience in nonprofit operations, general or business administration, program management, or a related field
  • Track record of successfully administering multiple projects simultaneously
  • Extremely organized with strict attention to detail and the ability to set priorities and follow up on tasks to meet deadlines
  • Excellent interpersonal, and written and verbal communication skills
  • Positive, team-oriented attitude with a can-do approach to problem-solving
  • Motivated to work collaboratively in a fast-paced, ever-changing environment
  • Ability to manage multiple digital inclusion initiatives simultaneously, using a variety of strategies to achieve desired outcomes
  • Fundamental commitment to continuous process improvements that help achieve incremental gains in efficiency and work quality
  • Able to work independently, set priorities, and manage multiple deadlines
  • A high degree of comfort, curiosity, excitement, and motivation to learn new technology and implement digital transformation 
  • Ability to think strategically, drive analysis, and solve problems quickly and effectively
  • Advanced proficiency with office productivity tools such as Google Suite, Microsoft Office, and other technology platforms and tools
  • Must be based in California

Compensation and Application Process

The salary range for this position is $63,000 - $67,000, depending on experience and background. EveryoneOn offers competitive compensation and a strong benefits package that includes employer-sponsored health, dental, and vision insurance, a monthly technology reimbursement, a 3% match on employee retirement contributions, a generous professional development budget, up to 20 days of PTO in your first year, and 11+ paid holidays each year.
