    Position Summary

    The Program Coordinator is responsible for the coordination of activities throughout the different WSCC programs while also managing the Work Groups, Committees, and contractually required monthly meetings of the WA Children’s Behavioral Health Statewide Family Network. WSCC is a remote-first organization without a central office; this position will be approximately 90% remote work with approximately 10% in person for trainings and travel to events.

    This position has an anticipated start date of July 14, with flexibility provided as needed to accommodate a preferred candidate.

    Essential Job Duties

    • Provide leadership to the Work Groups and Committees—coordinate with Work Group/Committee Chairs to produce agendas, meeting notes, and action plans.
    • Promote and advertise for Work Groups and other Committee Memberships.
    • Manage Work Group and Committee Member participant records and honorariums by collecting required annual documentation, maintaining up-to-date databases, requesting quarterly payments, and communicating expectations to workgroup and committee members.
    • Act as volunteer coordinator for WSCC volunteers.
    • Coordinate with WSCC Admin Director to ensure timely, accurate, and comprehensive submission of contract deliverables.
    • Manage our Contact Relationship Management tool (CRM), Hubspot, including mailing lists as needed for promotion and advertisement for events and projects. This may include delegation of tasks to WSCC’s Administrative Assistant.
    • Assist with tasks and event planning related to the WA Children’s Behavioral Health Statewide Family Network.
    • Be responsible for scheduling meetings and maintaining ongoing communications internal and external to the organization to support program outcomes.
    • Assist in organizing presenters and guest speakers for multiple community events and trainings.
    • Facilitate the monthly Open Forum & Dedicated Space meetings for the WA Children’s Behavioral Health Statewide Family Network (SFN).
    • Organize website event calendar and act as point of contact for approval of submissions to event calendar, based on established approval criteria.
    • Attend at least two evening workgroup or committee meetings per month (on a rotating basis) to stay informed, address member questions, and ensure alignment with goals and contractual requirements.
    • Learn all of the various trainings and Technical Assistance that WSCC offers, and be willing to step in as a substitute or second trainer when required.
    • Attend in-state WSCC-hosted or sponsored events, as funding allows; some events may require overnight travel, with all accommodations provided and mileage reimbursed.
    • Optionally represent WSCC at out-of-state events and conferences, with assigned tasks and responsibilities if attending.
    • Execute other duties as required by the Executive Director, Administrative Director, and/or Board of Directors.

    Minimum Requirements

    • Access to remote workspace with high speed internet.
    • High School Diploma, or GED.
    • Lived experience as a caregiver or youth navigating the behavioral healthcare system and related services, such as education, juvenile justice, or child welfare, etc.
    • Excellent verbal and written communication skills.
    • Excellent organizational skills and attention to detail.
    • Strong analytical and problem-solving skills.
    • Ability to function well in a high-paced and, at times, stressful environment.
    • Proficient with software related to virtual offices; experience specifically with Google Workspace (e.g. Google Documents, Sheets, Forms).
    • Commitment to anti-racism and dismantling institutional and systemic racism and other biases, including, but not limited to:
      • A willingness to learn about one’s own prejudices and biases.
      • An ability to work toward equal status relationships with people who are different.
      • An ability to question personal assumptions about the skills and competencies of the employees, and community, who are different.
      • A desire to learn as much as possible about how one’s own culture is different from others, and how that contributes to a particular way of reviewing self and others.
      • An ability to take risks to communicate with people from other cultures and backgrounds.
      • An ability to learn from mistakes made in trying to communicate with people of other cultures and backgrounds.
      • Experience working directly with people from diverse racial, ethnic, and socioeconomic backgrounds.
      • Personal or professional experience in anti-oppression work.

    Desired Qualifications (not required, but preferred)

    • Experience with CRM or email marketing software (e.g. HubSpot, MailChimp, Salesforce, or similar)
    • Experience facilitating groups (e.g. delivering trainings, setting agendas, taking notes)
    • Experience working with online event-scheduling software
    • Experience planning small-scale events and/or meetings

    Compensation, Benefits, and Employee Support

    • Full-time, 40 hours per week, $33/hour (a yearly salary equivalent of $68,640)
    • Paid time off (PTO) accrued per 40-hour pay period at 3.328 hours or the equivalent of 80 hours per year for full time employees, accrued up to a maximum of 100 hours per year.
    • In addition to PTO, full-time employees are eligible for six (6) paid holidays and five (5) days bereavement leave per year. Washington State Paid Medical and Family Leave and partial wage replacement is available for eligible employees.
    • Flexible, 90%+ remote position; work laptop provided.
    • Each employee is allotted $1000 per year for professional development as well as WSCC covering the cost of attending the National Federation of Families, Annual Peer Pathways, and other WSCC events for professional development.
