    Organization: Black Public Defender Association

    Location: Remote

    Job Type: Freelance, 15 hours/week

    Rate: $40/hour

    Reports to: Executive Director

    About the Black Public Defender Association: The Black Public Defender Association is a non-profit organization dedicated to advancing racial equity and social justice within the criminal justice system. We work tirelessly to empower and support Black public defenders, promote criminal justice reform, and advocate for fair and equitable treatment of Black individuals within the legal system.

    Job Summary: The Black Public Defender Association is seeking a Part-Time Operations and Administrative Manager to play a key role in the internal functioning of BPDA. The ideal candidate is highly organized and mission-driven with dedicated experience in non-profit operations. As the Operations and Administrative Manager, you will be responsible for tracking BPDA’s monthly finances, supporting the daily activities of the Executive Director and BPDA’s programs and fellowships, and maintaining organizational efficiency of BPDA’s internal systems. You will work in partnership with a slew of consultants who work on behalf of the organization, as well as liaise with BPDA’s parent organization, the National Legal Aid and Defender Association.

    Key Responsibilities:

    Finance:

    • Bill Payments: Coordinate payment of organizational bills, including submitting invoices, supporting contract renewals, and tracking recurring and one-time payments
    • Financial Reconciliation: Manage monthly reconciliation and maintain accurate records of receipts, payments, and expense reports
    • Perform Other Duties as Assigned

    Executive & Administrative Support:

    • Executive Director Support: Provide administrative support to the ED, as requested, including coordinating meetings and arranging travel, preparing reports, presentations, and other documents; gather data, conduct research, and format materials, as requested
    • Organizational & Program Support: Schedule organization-wide meetings, prepare meeting agendas, distribute meeting materials, as requested, including support for fellowship and membership programs
    • Perform Other Duties as Assigned

    Operations:

    • Onboarding & Offboarding: Manage the onboarding process for new contractors, including hiring, paperwork, and organizational access; coordinate the offboarding process for departing contractors
    • Systems & Process Improvement: Identify opportunities to streamline operational processes, implement technology solutions, and enhance organizational efficiency
    • Operational Oversight: Oversee key operational functions, such as IT, and maintain inventory of supplies, vendors, and subscriptions
    • Vendor Management: Serve as the primary liaison with vendors and contractors
    • Perform Other Duties as Assigned

    Requirements:

    • Bachelor’s degree
    • 2-3 years of experience in operations, administration, or a similar role, preferably in a nonprofit or mission-driven organization
    • Strong financial and project management skills
    • Experience with invoicing, budget formulation and tracking, and financial reconciliation
    • Experience managing multiple schedules, time zones, coordinating meetings and travel, and handling sensitive communications
    • Proficiency with Google Workspace, project management software, and financial systems
    • Excellent written and verbal communication skills
    • Ability to work independently and collaboratively as part of a remote team
    • Strong interpersonal skills and a demonstrated commitment to equity and racial justice
    • Lived experience or professional background relevant to BPDA’s mission
