    Description

    The Operations Manager is involved in the majority of GiveLight’s activities and is critical to the success of our mission. Key responsibilities include office management, account payable and receivables, event support, and the administrative aspects of gift administration, donor relations, and volunteer management. A successful applicant will be an excellent communicator, well organized, detailed, and proactive with experience in office administration, project management, finance, and/or nonprofit fundraising (i.e. development/advancement).

    This is an excellent position for a candidate with a great deal of experience looking to shift into a meaningful hybrid role without sacrificing impact; as well as a junior professional with a minimum of 3-5 years experience and progressive responsibility in a non profit, educational, or related organization. This is not an entry level position.

    Responsibilities

    This role has ownership for the overall headquarters operations including facility management, processing and reporting on the organization’s finances, and donor relations with administrative support for events and marketing. Responsibilities include but are not limited to;

    • Manage primary office space, IT infrastructure, purchasing, and inventory.
    • Ensure that corporate documents and filings are up-to-date, including business tax, property tax, and annual nonprofit filings.
    • Support the development and refinement of operational procedures.
    • Process Accounts Payable and Receivables, including reimbursements and ensure accurate assignment of revenue and expenses through a monthly reconciliation with the bookkeeper.
    • Manage the schedule of outgoing payments to homes and partners ensuring timely delivery of funds.
    • Ensure all gifts are accurately entered into the constituent database, including troubleshooting and verifying automations.
    • Respond within 24 hours to all donor inquiries and ensure that gift acknowledgements and annual tax receipts are accurate and timely
    • Support event ticketing and gift administration/donor relations for chapter and headquarters events.

    Qualifications

    • Demonstrated commitment to and passion for the well-being of children worldwide.
    • Excellent customer relations/diplomacy skills with a global demographic.
    • Demonstrated ability to manage time to handle multiple priorities and meet tight deadlines without sacrificing accuracy and quality.
    • Proficiency with basic accounting and nonprofit fundraising, including use of accounting software and constituent relational database. QuickBooks and Neon CRM experience preferred.
    • Must be able to work independently and be able to creatively use limited resources to execute on objectives.
    • Ability to coordinate with multiple teams of remotely located volunteers with different levels of commitment and skill sets.
    • A minimum of 3-5 years of progressively responsible administrative experience in the for-profit, nonprofit, educational sector is required.
    • Associate’s Degree with relevant professional experience is required. Bachelor’s degree is preferred.

    Time Commitment

    • Initial commitment is 20 hours/week moving to 30-32 hours/week after 90 days.
    • Hourly rate is $32/hour
    • Health care stipend with sick and vacation benefits
    • Location: SF Bay Area; Hybrid position requiring one day per week minimum in the San Jose office
