    The Organization

    Legal Assistance for Seniors (LAS) is a 501(c)3 nonprofit in its 49th year serving Alameda County residents who are 60 years of age and older. Through its Legal Services Program, LAS provides legal advice and information, representation in court and administrative hearings, referrals to other community resources, and community education and training in the areas of prevention of elder abuse, consumer law, public benefits, housing, guardianships, naturalization, and health law. Through its Health Insurance Counseling and Advocacy Program (HICAP), LAS provides individual counseling and community education to Medicare beneficiaries in the areas of Medicare enrollment and coverage, supplemental coverage including Medicare Advantage and prescription drug plans, low-income assistance programs, and long-term care insurance.

    The Role

    Reporting to the Associate Director, the Operations Coordinator focuses on internal systems and processes, contributing to the organization’s smooth operations. The Operations Coordinator will have the opportunity to be involved in a variety of projects and to assess and improve on existing processes. This role serves as the primary liaison with our office technology and facilities support vendors and will oversee IT/IS resources, including cloud and onsite servers, HRIS and VOIP phone systems; and physical resources including copiers, postage machine, desktops and laptops. This role requires great communication skills, collaborative intention, curiosity, creativity, and a willingness to roll up your sleeves and dive into the details.

    Duties and Responsibilities include but are not limited to:

    1. Facilities/office – ensure that the office is operating smoothly. (35%)
      1. Primary liaison with building management
      2. Vendor relationships and accounts payables processing
      3. Office supplies ordering
      4. Office upkeep
      5. Mail and email distribution
      6. Update and maintenance of common documents and shared calendars
    2. IT/IS – provide user support and interface with outsourced IT company (35%)
      1. User hardware setup
      2. First tier user support/troubleshooting
      3. MS 365, SharePoint
      4. Liaison with vendors
    3. Program support – assist with program-related projects (30%)
      1. Communications and marketing operations
      2. Website liaison
      3. Account management for legal services products
      4. Some data entry
      5. Mailings

    Qualifications

    Required:

    • Excellent verbal and written communication skills
    • Excellent interpersonal skills
    • Ability to work independently and as part of a team
    • Detail oriented and organized
    • Intermediate to advanced proficiency Microsoft 365 (Word, Excel) or Google Suite (Docs, Sheets)
    • Windows OS proficiency
    • Interest in nonprofit operations and management

    Preferred:

    • AA or BA/BS degree
    • Customer service experience
    • Familiar with project management SaaS (Slack, Asana, monday.com)
    • Experience with WordPress
    • Experience with SharePoint

    Working conditions & physical requirements

    • Ability to sit for extended periods, use of phone and computer systems for long periods of time.
    • Alternate between sitting and motion tasks frequently.
    • Extensive computer use.
