    Description

    We are looking for a part-time Program Coordinator to join our growing team at Project Success from August 4th, 2025, to June 12th, 2026. Project Success is a youth development nonprofit organization that helps students connect to their purpose. We work with more than 16,000 6th-12th grade students and their families annually and have more than 225,000 alumni around the world. Learn more at projectsuccess.org.

    Program Coordinators support the execution of Project Success programs throughout the school year in the Arts, Expeditions, and general program areas. They work closely with other Project Success staff and with volunteers, contractors, and bussing partners. Program Coordinators are the main points of contact for registering students, families, and school staff for programming via phone, email, and texting platforms. They track registrations in the Salesforce database and keep other systems up to date regarding Project Success programs. Program Coordinators prepare for and staff a variety of program events, including field trips and events that take place during the school day and on evenings and weekends.

    This role reports to the Senior Program Manager - Theater Experiences and is part of the Programs team at Project Success.

    This role will require strong communication skills, the ability to work as a member of a team, and the ability to prioritize multiple ongoing projects. They must have a strong desire to engage with students and families, particularly through educational theater and expedition experiences. They must be committed to removing barriers that could prevent student and family participation in our programs. Our ideal candidate is detail-oriented and highly organized, has the desire to jump into a variety of tasks, and appreciates working collaboratively to meet shared goals.

    CORE JOB RESPONSIBILITIES

    Program Support – Execution of Events

    • Support event planning and preparation, and execute in-person Theater, Musicals, Field Trips, and In-School Residencies
    • Host students and their families at in-person & virtual events at program partner locations and communicate directly with students, families, and other Project Success staff
    • Prepare all necessary supplies and materials for events and set-up at partner locations
    • Support on-site partners including childcare workers, volunteer drivers, & partner staff
    • Coordinate logistics during programs such as Expeditions & Certificate programming, including College & Career Tours, Outdoor Adventures, Institute, Global Experiences, etc.
    • Track attendance of programs and complete data entry into Salesforce system
    • Provide transportation to and from events and childcare support as needed

    Registrations, Communication, and Systems Administration

    • Serve as the first point of contact for Project Success main phone line and programs email
    • Manage all incoming registrations and requests for Project Success Programs from students, families, and school staff via phone, email, and text messaging platforms
    • Communicate program details and safety protocols to all registrants
    • Arrange and track accessibility and accommodation needs as requested
    • Complete data-entry and other data projects as assigned

    Program Support – Student Safety

    • Encourage a safe, accessible, and inclusive environment for students, teachers, and partners
    • Follow safety protocols for all programs
    • Serve as trip lead and work closely with program managers of events when problems arise

    EDUCATION, EXPERIENCE, AND SKILLS

    • High school degree required
    • 2+ years of similar experience (or a combination of training, education, and experiences that provides the required knowledge and abilities)
    • 1+ years of experience working directly with students in an education, youth development, or arts environment
    • Strong and detail-oriented communication, listening, problem-solving and organizational skills
    • Tech-savvy and proficient with Microsoft 365 - PowerPoint, Excel, Word, Outlook
    • Self-motivated, extremely reliable, ability to work with clear instruction

    JOB REQUIREMENTS

    • Must have a valid driver's license and auto insurance
    • Ability to sit and/or stand for prolonged periods, including movement up and down stairs and throughout office environment and at events
    • Must be able to lift up to 25 pounds at times and 50 pounds on occasion

    POSITION DESCRIPTIONThis is a part-time hourly non-exempt position, scheduled for 20–28 hours of work per week from August 4, 2025, through June 12, 2026. Work schedule is based on scheduled programming and will require availability during the daytime, evenings, and weekends, to attend theater performances and other programs. More details on the schedule are to be discussed in the interview process.

    The compensation package includes the following:

    • $20 per hour, 20-28 hours per week
    • 6 days of paid Sick & Safe Time
    • SIMPLE IRA retirement plan with up to a 3% match
    • Free parking at the PS office
