    Description

    Penn’s Village is a nonprofit organization that helps older adults in central Philadelphia stay active, independent, and connected to their community. We rely heavily on a dedicated network of volunteers to provide direct services to members and to support administrative operations.

    We are seeking a compassionate, organized, and people-centered individual to serve as our Volunteer and Services Coordinator. This key position ensures that Penn’s Village members are matched with qualified, caring volunteers and that those volunteers feel supported, trained, and prepared in their roles.

    This role is ideal for someone with a background in social work, nursing, gerontology, public health, or a related human services field. It may also be a great fit for a retired professional looking to stay engaged in meaningful work, or for someone reentering the workforce after time away, such as caregiving or stay-at-home parenting.

    The successful candidate will be mission-driven, detail-oriented, and energized by building relationships across generations and backgrounds.

    Volunteer Administration

    • Lead and continually improve recruitment, screening, and onboarding systems for:
      • Village Service Volunteers (those who support members directly)
      • Administrative Volunteers (office and operations support)
      • Village Builders (volunteers serving on committees, task forces, and special projects)
    • Provide tailored engagement, capacity-building, and retention strategies for Village Builders, recognizing their often sporadic but critical contributions. This may include asynchronous support, project tracking tools, and communication to ensure their work is visible and valued.
    • Supervise volunteer interviewers conducting reference and background checks where applicable.
    • Design and deliver volunteer orientation and ongoing training, including peer-led mutual support meetings to share challenges and solutions across all volunteer types.
    • Partner with the Data Task Force to develop and implement user-friendly systems for all volunteers to log hours, describe contributions, and submit reports, regardless of the type or frequency of service. Special focus should be placed on collecting data from volunteers who support events, Town Halls, or one-time initiatives, which are often under-tracked.
    • Maintain a central, accurate, and regularly updated volunteer database, with attention to identifying active vs. inactive volunteers and capturing contributions from all types—including paid members who serve in volunteer capacities.
    • Match Village Service Volunteers to opportunities based on skills, availability, and member needs.
    • Provide consistent supervision and mentorship to direct-service volunteers; maintain open communication with committee chairs and event organizers to ensure accurate reporting and recognition of Village Builders.
    • Support volunteers in understanding and following established guidelines, including emergency protocols and conduct expectations.
    • Coordinate volunteer appreciation and recognition efforts across all roles.

    Service Coordination

    • Serve as the primary contact for incoming member service requests.
    • Conduct needs assessments and collaboratively determine service plans with volunteers and staff.
    • Document case notes for all service interactions using a standardized process.
    • Ensure timely, appropriate delivery of services (e.g., transportation, tech support, companionship, errands)
    • Monitor and evaluate service quality and member satisfaction. If no evaluation tools currently exist, this role will help develop them in collaboration with staff and volunteers.
    • Identify and address service delivery concerns, manage interpersonal conflicts as they arise, and support a culture of continuous learning and care

    Community Engagement

    • Cultivate relationships with local organizations, universities, and businesses to expand the volunteer base
    • Represent Penn’s Village at community events and outreach activities
    • Contribute to the planning and delivery of community-facing programs administered by volunteers (e.g., movement workshops, tech clinics)

    Preferred Qualifications

    • Bachelor’s degree in Social Work, Nursing, Public Health, Gerontology, or related field
    • Minimum of 3 years’ experience working with older adults or in a human services setting
    • Experience in volunteer management or program coordination
    • Strong interpersonal, communication, and conflict-resolution skills
    • Ability to maintain boundaries, confidentiality, and professional judgment
    • Excellent organizational and record-keeping skills; proficiency with basic computer programs (Microsoft Office, Google Workspace) and willingness to learn new systems—especially Club Express, our member management platform
    • Empathy, patience, and a genuine interest in working with older adults and volunteers from diverse backgrounds

    Schedule and Compensation

    • Part-time, 15-20 hours per week to start
    • Some flexibility in schedule; hybrid work environment with in-person responsibilities
    • Competitive hourly compensation based on experience
