    The Coordinator, Special Projects works closely with the Senior Director, Production and the Business and Operations Manager to facilitate a wide variety of projects within the Production Department. The role will focus on communications, operational efficiency, and systemization of ongoing operations. A successful candidate is highly organized, adaptable, and can work independently or in close collaboration with colleagues in many specialty areas. Discretion, decorum, and diplomacy are important qualities.

    The salary for this role is $75,000 - $80,000 per year.

    Role Responsibilities:

    Reporting to the Senior Director, the Coordinator will help document, research, and advance projects including but not limited to:

    • Safety Operations: Serve as management liaison to the Safety Committee and the Scene Shop & Safety Manager. Establish and execute risk assessment for all productions and projects. Monitor and track incident reports. Organize handling of first-aid supplies. Elevate areas of concern to Senior Director and BOM for further action, adjustment of policy, or both.
    • Institutional intake: Establish single conduit for all venue and support requests coming from constituents across the school. Prioritize timely response and comprehensive understanding of each request. Work with BOM to develop cost estimates when necessary.
    • Departmental organization: Coordinate with shop supervisors and other stakeholders to review and evaluate shop structure and job descriptions. Work with Shop Supervisors to research/curate opportunities for professional development across different specialties. Monitor and track industry hiring trends. Document and collect shop policies.
    • Capital Projects: Work with Senior Director, BOM, and Facilities colleagues to develop and track Production-centric capital projects. Instigate a comprehensive survey of durable goods. Collaborate on development of 1-3-5-10+ year strategy for maintenance and replacement.
    • Sustainability: Work with Senior Director and Shop Supervisors to explore and develop methods and policies that align with the School's sustainability initiatives.
    • Production support: Work with Production Managers to provide adjacent support on select productions. Occasional attendance at rehearsal or performance may be required. Solicit and summarize feedback from guest directors and designers. Develop and document a debrief for each production. Develop and maintain technical and visual archive.
    • Assist Senior Director and BOM as assigned for drafting executive briefs, assembling spreadsheets, drafting policy memos, and other tasks as assigned.

    Minimum Requirements:

    • Experience in MS Office Suite and Excel.
    • Willingness to learn proprietary scheduling and project management software.
    • Ability to work well collaboratively as part of and in a team setting.
    • Ability to maintain a professional demeanor at all times in a fast paced, high intensity environment

    Preferred Background:

    • Experience working in an educational institution.
