    Description

    The Campaign for Tobacco-Free Kids (the Campaign) is the leading non-profit advocacy organization dedicated to reducing tobacco use and its devastating health effects in the United States and around the world. Through policy advocacy campaigns and strategic communications, the Campaign works to change public attitudes toward tobacco and promote proven policies that reduce tobacco use and save lives.

    The Campaign is seeking a Part-Time Administrative Assistant (AA) to help support the organization’s growing administrative needs. This position will play a pivotal role in providing administrative support to the People and Culture (Human Resources) Department, while also serving as a backup for various agency-wide assignments. Key responsibilities include supporting human resources and global programs, managing contracts and grants, coordinating and taking meeting minutes, preparing routine correspondence, maintaining operational files, and addressing essential administrative tasks.

    Based in Washington, D.C., this position operates under a Hybrid work model, requiring three days in the office and two days working remotely. The Administrative Assistant is supervised by the Chief Administrative Officer (CAO).

    WHAT YOU'LL ACCOMPLISH:

    • Greet and assist visitors at the front desk.
    • Provide direct administrative support to the Human Resources department and other departments as assigned by the CAO.
    • Coordinate, prepare for, and take minutes during program and team meetings as needed.
    • Support the contract and grant management process, including coordinating document flow and signatures, tracking the status of contracts and grants, and assisting with processing contractor invoices and payment tracking.
    • Work collaboratively with other administrative staff and serve as the primary backup when needed.
    • Perform additional administrative duties as assigned by the Chief Administrative Officer.

    SKILLS YOU'LL BRING TO THE ROLE:

    • Bachelor’s degree required.
    • One (1) to two (2) years’ administrative experience in a non-profit environment, mid-sized organization, or related.
    • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); familiarity with Adobe Photoshop or Canva is a plus.
    • Ability to maintain electronic filing systems and paper files as required.
    • Excellent oral and written communication skills.
    • Strong time management, organizational, and problem-solving skills.
    • Comfortable working with diverse teams and individuals from various cultures and backgrounds.
    • Ability to handle sensitive and confidential information with discretion.
    • Ability to thrive in a fast-paced, team-oriented environment while juggling multiple projects and deadlines.
