    About the Role

    Volunteers of Legal Service (VOLS) seeks a detailed-oriented, analytical, and enthusiastic Data & Contracts Coordinator to strengthen our fundraising infrastructure and reporting. This role provides essential support for the Development & Communications team and is responsible for maintaining the accuracy and integrity of data, preparing data-informed reports, and coordinating the submission of fundraising contracts, reports, and invoices.

    This role is ideal for someone who thrives on information management and analysis and storytelling through numbers. You’ll collaborate closely with colleagues across programs, leadership, and finance to ensure our data systems are well-maintained and leveraged to support VOLS’ long-term sustainability. This role is non-exempt, will report directly to the Development & Communications Director, and is part of union ALAA UAW Local 2325.

    Organizational Mission

    For 40 years, VOLS has partnered with New York City’s leading law firms and companies as well as community-based organizations to help close the access to justice gap for low-income New Yorkers. VOLS provides free, civil legal services to New Yorkers with limited resources, including seniors, veterans, individuals entitled to public benefits, immigrant youth, children and their families, mothers in prison or jail, and small businessowners. Last year, VOLS assisted clients on more than 4,000 legal matters, and our services benefited over 6,200 individual New Yorkers.

    VOLS’ staff of 22, including 15 attorneys and law graduates, works with volunteers from over 80 law firms/companies to exponentially increase our impact. We partner with 150 community groups to ensure that our services are accessible and address local needs.

    Responsibilities include, but are not limited to:

    Data Coordination

    • Maintain and update supporter database with accurate information
    • Process and record donations from various channels in a timely, accurate manner
    • Execute donor acknowledgement process
    • Partner with finance team to support monthly and annual reconciliations and annual audit
    • Conduct routine data quality checks to ensure integrity and consistency
    • Create and analyze reports that track fundraising performance, identify trends, and support strategic planning
    • Generate custom reports on program data for internal and external audiences, including Board meetings, funder applications and reports, and public-facing materials
    • Collaborate with program staff so that their data collection reflects the full scope of their work
    • Monitor and report on digital engagement metrics, including access to VOLS’ self-help legal education resources. Update online as needed

    Grant and Contract Coordination

    • Maintain calendar of grant applications, reports, invoicing, and related deliverables
    • Coordinate with the finance team to gather required materials and submit them as needed
    • Ensure up-to-date and accurate records across funder portals

    Other Duties

    • Performing other duties as assigned by their supervisor

    Qualifications:

    Required

    • 1-2 years relevant experience or coursework in nonprofit administration, fundraising, grant management, data management or related fields
    • Demonstrated experience with data collection and analysis
    • Exceptional attention to detail and critical thinking skills
    • Strong organizational skills with the ability to manage multiple priorities
    • Proficiency with donor/client management systems and the types of data necessary to support constituent/client relations
    • Proven ability to multitask and prioritize competing deadlines both individually and as part of a team
    • Enthusiasm for leveraging data to support access to legal services

    Preferred

    • Experience with city and state funding contract requirements
    • Experience with financial reporting
    • Experience with Microsoft Office Suite (particularly Excel), Microsoft Teams, and donor/client databases such as DonorPerfect or LegalServer

    This position will be fully in-person for the first 90 days of employment. After the first 90 days, telecommuting one day per week will be permitted. After the completion of the six months probationary period, the position will be hybrid, with up to eight telecommuting days per month, with additional telecommuting days during the summer.

    Local travel to meetings, clinics, and other events is required.
