Position Overview:
NESF is seeking a compassionate, motivated, and bilingual receptionist to join our team. This individual will play a critical role in supporting our clients by providing exceptional customer service, answering inquiries, and addressing the needs of individuals in crisis. As the first point of contact for clients seeking assistance, the ideal candidate will be empathetic, calm under pressure, and adept at managing a variety of administrative tasks in a fast-paced, high-stress environment.
Key Responsibilities:
- Greet and assist clients in both English and Spanish, ensuring their needs are met with professionalism, empathy, and respect.
- Answer incoming calls, direct them to appropriate departments, and provide information about NESF services in both English and Spanish.
- Remain calm, patient, and thoughtful while interacting with individuals who may be experiencing challenging or crisis situations.
- Schedule and coordinate appointments for clients, assisting with intake forms and providing relevant information about NESF’s programs.
- Maintain an organized, clean, and welcoming reception area.
- Assist clients with the intake process, gathering necessary documentation and ensuring they are connected to appropriate services.
- Address client inquiries and concerns with professionalism and a focus on customer service, offering problem-solving solutions as needed.
- Maintain confidentiality of client information in accordance with NESF’s policies and applicable legal regulations.
- Perform general administrative duties such as data entry, filing, and assisting other departments with various tasks as needed.
- Assist with other office duties and support colleagues during busy or high-demand periods.
Qualifications:
- Bilingual (English and Spanish) required.
- High school diploma or equivalent. Additional education or certifications in social services or a related field is a plus.
- At least 1-2 years of experience in a receptionist or customer service role, particularly in a social service, non-profit, or healthcare setting.
- Strong verbal and written communication skills in both English and Spanish.
- Ability to stay calm, collected, and professional in high-stress and fast-paced situations.
- Demonstrated empathy, compassion, and a desire to assist individuals in crisis or with urgent needs.
- Strong problem-solving abilities and the ability to handle sensitive situations with professionalism.
- Familiarity with Microsoft Office Suite and general office equipment.
- Ability to manage multiple tasks simultaneously and prioritize effectively.
- Must be able to maintain strict confidentiality and exercise discretion in handling client information.
Physical Demands:
- Ability to sit or stand for extended periods of time.
- Occasional lifting (up to 20 lbs) may be required.
