    Description

    Overview of Position:

    The Program Coordinator at ICP is the administrative coordinator for one or two training and/or treatment programs. Some Program Coordinators have specific duties outside of their PC role – those will be indicated elsewhere. The role requires strong organizational skills, knowledge of MS Office and common computer applications, critical thinking skills, the ability to recognize and prioritize time-sensitive tasks and projects, as well as the ability to communicate with personnel at all levels of the organization. The Program Coordinator will report to the Assistant Director, Clinical Operations and the Executive Director, as well as their program’s Division Director(s) and will collaborate with administrative support staff, volunteers, interns, and 1099 contractors (contractors in this context are: candidates, therapists, supervisors, and instructors).

    Responsibilities (% breakdown):

    45%: Program-level Administrative Duties

    • Participate in all areas of program coordination including interface with division directors, applicants, candidates, supervisors, instructors.
    • Ensure that all logistical and administrative aspects of the program are running smoothly, seeking help from Executive Director when needed.
      • Attend regularly-scheduled meetings and collaborate frequently with Division Director(s).
      • Participate in Committee meetings, taking minutes and preparing materials pre and post meeting.
      • Provide hands-on administrative support during recruitment season, including planning and attending Open Houses.
      • Respond to telephone and email inquiries.
    • Maintain up-to-date candidate and supervisor manuals, handbooks, and forms.
    • Maintain up-to-date calendars: Program events and deadlines and academic calendar.
    • Update EHR charts after intake review and therapist assignment.
    • Troubleshooting

    30%: Candidate, Instructor, and Supervisor Support

    • Provide support, education, on-boarding, and orientation for Interns, Therapists, Candidates, Instructors, and Supervisors.
    • Answer all policy and procedure questions.
    • Provide EHR assistance.
    • Track the progression of candidates in the program, coordinating evaluations and assistance with NYS license applications.
    • Schedule interviews, meetings, and evaluations with Division leaders.
    • Input monthly faculty billing into payroll system.

    20%: CE/Workshop Planning

    • Participate in planning and execution of workshops and trainings.
    • Complete CE applications.
    • Create marketing flyers.
    • Assist faculty in preparing and distributing course materials.

    5%: Special Projects as needed

    Hourly Rate: $20.00-$22.50/hour (annual salary $42,000-$47,000/year); commensurate with education and experience
