    Assignment Overview

    GKI is seeking a highly organized and motivated part-time consultant to join our team starting in May 2025. The successful candidate will provide essential administrative assistance to support the smooth operation of our organization.

    Key Responsibilities

    • Administrative Support: Provide administrative support to the CEO, COO, Board, and Operations Manager, including calendar management, scheduling meetings, travel arrangements, minutes, reporting expenses and time, and similar routine admin.
    • Knowledge Management: Maintain and organize documents and recordings in our Google Drive, maintaining adherence to knowledge management protocols.
    • Meeting Coordination: Help plan and coordinate meetings, including preparing agendas, assisting in entering content into handouts/decks according to established templates, taking minutes if needed, distributing and storing follow-up materials, and coordinating with guests/resource people. Support would be needed for team coordination meetings approximately monthly, approximately biweekly team learning sessions, quarterly Board meetings, and ad hoc fundraising and sponsor meetings.
    • Project management task maintenance: Help ensure that the team’s Monday’com boards are updated and perform any routine support for consistent functionality in high-traffic boards. Maintain the Learning Session Pipeline board.
    • Correspondence: Visit the physical GKI office in Washington, DC approximately quarterly to collect and manage correspondence. GKI can pay for up to 4 hours of work time and provide up to $100 reimbursement for this commute, per each visit to the office.
    • Special Projects: Support special projects and initiatives as assigned by the Operations Manager. These might include organizational vetting, basic online research, data entry, gathering documentation, etc.

    Qualifications

    • Proven Experience: Demonstrated experience in providing administrative support in a professional setting.
    • Strong Organizational Skills: Exceptional organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
    • Customer Service Orientation: Strong interpersonal skills with the ability to listen actively, empathize with concerns, and respond with professionalism and clarity. Ability to anticipate needs and proactively offer support or guidance to enhance satisfaction.
    • Excellent Communication Skills: Excellent written and verbal communication skills, with the ability to interact effectively with staff at all levels.
    • Proficiency in Technology: Proficiency in Google Workspace, Slack ,and other relevant software applications for remote collaboration. (GKI also routinely uses Mural and Monday.com.)
    • Attention to Detail: Strong attention to detail and accuracy.
    • Discretion and Confidentiality: Ability to handle sensitive information with discretion and maintain confidentiality.
