    Description

    Position Summary:

    We are seeking an experienced, detail-oriented, full-time Accounting/Bookkeeping Clerk to join our team onsite at our headquarters in Nesconset, NY. The ideal candidate will be responsible for ensuring accurate and timely recording of all transactions (checks, deposits, invoices, etc.) while organizing and maintaining supporting documentation for all expenditures. This position coordinates with our off-site accounting team.

    Key Responsibilities:

      • Review and post invoices and expenditures to QuickBooks Online (QBO) with accurate coding and supporting documentation
      • Preparation of QuickBooks checks to pay necessary bills
      • Analysis of monthly Amex corporate credit card charges
      • Make daily deposits using on-line banking scanner and post daily deposits to QuickBooks
      • Collect, track and maintain receipts
      • Maintain and organize documentation to support compliance with funders, auditors, and regulatory requirements
      • Assist our accounting team in preparing for annual audits and filing of Form 990
      • Maintain vendor records (W-9, contracts, etc.)
      • Work collaboratively with the President and Co-founder, external accounting team, and program staff to support the financial health of the organization

    Qualifications:

      • Minimum of 3 years of accounting/bookkeeping experience, preferably in the nonprofit sector
      • Proficiency in QuickBooks Online (QBO) is required
      • Solid understanding of nonprofit accounting principles (including fund accounting and grant tracking)
      • Strong knowledge of Microsoft Excel and Google Workspace
      • Excellent organizational skills and attention to detail
      • Ability to work independently and manage multiple priorities in a small team environment
      • Strong communication and interpersonal skills

    Preferred Qualifications:

      • Associate’s degree in accounting or finance
      • Experience with Bill.com
      • Experience with donor management or grant tracking software

    Work Environment:

      • This is a full-time, onsite position located at our headquarters in Nesconset, NY
      • Work is primarily performed in-office and in assigned office space using a computer and peripheral office equipment
      • Office environment is casual and collaborative, with a focus on mission-driven work

    Compensation:

      • Hourly rate: $25 to $30/hour, depending on level of experience
      • Two weeks PTO and paid federal holidays
