    Description

    The finance operations coordinator reports to the deputy director and will play a pivotal role on the finance operations team. Working closely with the deputy director and outside accounting firm, this position supports financial processes including payroll, tax compliance, state charity registration, financial reporting, budget development, grantee payments and monitoring and audit support.

    ESSENTIAL DUTIES

    Payroll & Compliance

    • Monitor and update employee payroll deduction and employer contributions in Quickbooks Desktop.
    • Collect and verify staff timesheets in support of the bi-weekly payroll process. ● Enter work and leave hours in the payroll processing system.
    • Run routine payroll reports, verify the accuracy of payroll data
    • Manage workflow and collaborate with HR and general staff to ensure payroll deadlines are met.
    • Distribute pay stubs to employees in a timely manner.
    • Ensure proper reporting and remittance of 403(b) contributions and employee benefits contributions.
    • Coordinate proper registration and filing of local and state employer tax.
    • Serve as backup for payroll operations during staff absences or peak periods.
    • Ensure the entity is properly registered for charity solicitations in required states and municipalities.

    Vendor & Grantee Support

    • Coordinate with the program team on grantee payment questions and issues and Assist grantees and vendors with navigating the Bill.com platform.
    • Collect W-9 from vendors as needed and all contracts are accounted for.

    Financial Management & Reporting

    • Assist with the preparation and monitoring of the annual budget.
    • Create monthly, quarterly, and annual financial reports.

    Month-end close, year-end close and audit support

    • Support the monthly close process in collaboration with the deputy director and outsourced accounting firm.
    • Support year-end close process and audit preparation.
    • Assist with audit schedules, document requests, field work, and other audit and compliance-related matters.
    • Assist with annual 990 questionnaire preparation.

    Administration

    • Download and save monthly bank, investment and credit statements.
    • Forward completed bank reconciliations to appropriate parties for approval, saving approved copies.
    • Document and update as necessary finance procedures, policies and forms.
    • Assist with compliance related reporting.
    • Oversee the storage, archiving, and disposal of financial records in compliance with the organization's records retention and confidentiality guidelines.
    • Contribute to materials for, and attend board update calls and semi-annual meetings.
    • Other duties as required to support the finance and operations team.

    Staff Training & Support

    • Provide training for new staff on financial systems and processes.
    • Provide ongoing support to staff in utilizing financial systems and resolving issues related to financial processes. Community Engagement
