    Job Title: Development Administrator

    Employment Type: Full-Time

    Department: Development Department

    Under the supervision of the Chief Advancement Officer and Director of Development, the Development Administrator supports and assists with all administrative aspects of development and outreach activities. The Development Administrator will work closely with development department staff to research and qualify potential sources of donations, track the progress of fundraising campaigns, and provide fundraising data for the purposes of management, outreach, and reporting. This position is an essential role on the development team with opportunity for growth, and requires an action-oriented, highly organized individual.

    The ideal candidate:

    • Will be exceptionally organized, able to prioritize and complete multiple deadline-based tasks efficiently, with attention to detail, and excellent follow through
    • Must have strong technical computer skills and be proficient with Microsoft Office and CRMs
    • Experience with data preferred, and interest in data management a must
    • Excellent oral and written communication skills required
    • Has a positive attitude, problem solver and is open to new ideas

    RESPONSIBILITIES INCLUDE:

    • Assist with building and generating customized and robust reports in Altru to inform and monitor fundraising activity across the organization and for specific appeals
    • Ensure data integrity through accurate data entry and cleansing efforts
    • Manage membership program and membership outreach
    • Manage March of the Living revenue collection
    • Prepare and mail out acknowledgement letters/emails for gifts and pledges
    • Assist with Annual Gala and Annual Golf Tournament fundraising efforts and other event as assigned
    • Research potential prospects and program attendees on an ongoing basis
    • Track donor communications and research notes in Altru
    • Create mailing lists for outreach activities
    • Assist with private tours and private events
    • Process online donations
    • Prepare invoices
    • Communicate regularly with the development department regarding revenue

    Maintain Donor Database:

      • Entering all donation and contact data into Altru; online and checks
      • Entering all donor correspondences and research notes in Altru
      • Creating and running all donor reports, revenue reports, campaign reports, program reports, and contact reports
      • Tracking private tour attendees and donations

    Membership:

    • Tracking members and members’ benefits
    • Sending members tax letters and membership cards
    • Sending renewal reminders
    • Assists with organizing and executing member-specific events
    • Communicating with Jewish Heritage Travel program regarding Museum members

    Donor Research:

    • Providing donor/prospect research for annual campaign, events, Gala, Capital and special campaigns.

    Fundraising Administrative Support:

    • Managing back-end credit card processors
    • Tracking campaign/appeal metrics
    • Creating mailing and contact lists for correspondence
    • Assists with monthly donation reconciliations
    • Tracking notes and action items from staff development meetings
    • Tracking March of the Living revenue

    Private Programs & Events:

    • Tracking guest attendance numbers
    • Tracking donations received from programs
    • Updating necessary spreadsheets and Altru database

    Annual Gala/Major Fundraising Event

    • Assisting Gala fundraising team with registration materials, income communication, and other duties as assigned

    Qualifications:

    • Minimum of two years preferred in a professional administrative role
    • Proficient in CRM software with hands on experience in fundraising data management – Altru, preferred but not required
    • Advanced skills in Microsoft Office; including Excel, Word, and Outlook
    • Ability to take direction and work independently, as well as collaboratively

    WORKING SCHEDULE:

    Monday – Friday, 9am – 5pm. This hybrid position involves working some evenings and weekends.

    SALARY/BENEFITS:

    The Development Administrator has an annual salary range of $46,000 - $50,000, based on experience and other qualifications. Generous PTO includes vacation and paid holidays, and health benefits.
