    Description

    Amigos of Costa Rica is looking for a Finance, Data, and Admin Coordinator to join our team. The Finance, Data, and Admin Coordinator is a proactive, tech-savvy professional who plays a vital role in supporting and improving the operational backbone of a small but growing organization. This position is responsible for managing financial records, coordinating data systems, and streamlining administrative processes. With a keen eye for detail and a drive for process improvement, the Coordinator ensures accurate financial reporting, efficient data management in Salesforce, and effective communication across the team. Additionally, they lead transparency initiatives and support the organization’s mission through a variety of administrative and project-based tasks.

Amigos works as the fiscal sponsor for over 115 Costa Rican nonprofits, while also providing those nonprofits with capacity building opportunities. At Amigos of Costa Rica we are problem solvers, connectors, and facilitators who help donors navigate the Costa Rican context and responsibly engage in philanthropy. Amigos is growing, and future work will increasingly focus on growing the donor community for Costa Rica through collaborations with the private sector.     Finance & Data Management

    • Supporting the organization’s bookkeeper by:
      • Preparing and submitting summaries of debits and credits on a weekly and monthly basis
      • Archiving supporting documentation
      • Managing the organization’s documentation of invoices and payments
    • Donations
      • Updating and managing all data in Salesforce
        • Providing donors with associated receipts or confirmation letters as needed
        • Logging any reporting requirements
      • Weekly verification of wire transfers, Salesforce data matching with bank data
      • Prepare, manage, and design Salesforce reports as needed
    • Compiling necessary documentation for Amigos’ yearly Audit

    Administrative Duties

    • Triage incoming communications to provide the correct information or introduction to a team member
    • Developing and maintaining internal information management systems (e.g. Google Drive)
    • Maintaining and updating standard operating procedures
    • Managing ongoing online services contracts

    Special projects

    • Creating Amigos’ Annual Report, utilizing input from staff as well as data from Affiliate Annual Reports
    • Support the long-term mission of Amigos through special projects which may include acting as the primary point of contact, conducting research, organizing and analyzing data, and presenting outputs to the Executive Director and/or Board of Directors

    Other duties as assigned

    • Other duties may include supporting the team with research, administrative duties, or other assignments that will help the Amigos team progress towards our goals.

    Skills

    Required

    • Attention to detail
    • Confidence with math and basic statistics
    • Passionate about organization and efficiency, while maintaining patience about navigating inefficiencies
    • Comfortable in a growing organization/”start-up environment”
    • Able to apply logical reasoning and problem-solving skills to see the bigger picture and address root causes
    • US citizen or work eligible

    Preferred

    • Experience with Salesforce
    • Bilingual Spanish/English
    • A love for Costa Rica

    The Finance, Data, and Admin Coordinator will report to the Executive Director and will work in a collaborative team environment that currently consists of a total of three staff members, various consultants, and a supportive and engaged Board of Directors.

    Location & Travel Requirements

    • Remote, but based in the USA. Broader Philadelphia area preferred (for occasional meetings in West Chester, PA)
      • Computer provided, with a monthly work-from-home stipend to support home office needs.
      • General expectation of availability during the work day, with the possibility to flex the work schedule with management approval
    • Travel required: <5%; Passport required; Travel may include annual Board Retreat (Costa Rica, 1 week), conferences, site visits, and fundraising events
