    Administrative Assistant (Volunteer – U.S. Residents Only)

    🌟 Join Our Ground-Level Team!

    Are you eager to roll up your sleeves, build something from scratch, and gain real-world nonprofit experience? We’re launching a youth ministry nonprofit in West Virginia, and we need a reliable, detail-oriented Administrative Assistant to work directly with the Founder. This all-hands-on-deck role offers you the chance to shape every aspect of our organization—from tech setup to community events—and make an immediate impact on local teens’ lives.

    📌 Key Responsibilities

    General Admin & Communications

    • Manage the President’s calendar, appointments, and meetings
    • Make follow-up calls and send emails
    • Prepare, review, and organize documents, reports, and grant materials
    • Coordinate with staff, volunteers, and external partners

    Technology & Systems Setup

    • Configure Microsoft 365 (domain linking, user creation, software distribution)
    • Support VOIP phone system setup using our Azure credit

    Volunteer Coordination & Onboarding

    • Draft recruitment emails and social-media blasts
    • Track applications, schedule orientations, and maintain the volunteer roster
    • Develop and distribute volunteer handbooks, schedules, and code-of-conduct
    • Certify service hours and provide reference letters as needed

    Event & Program Support

    • Plan, publicize, and assist with youth gatherings and special events
    • Manage registrations, attendance tracking, and event follow-up

    Communications & Outreach

    • Draft and schedule social-media posts (TikTok, Instagram, Facebook)
    • Update website content via CMS and distribute a monthly e-newsletter

    Fundraising & Grant Support

    • Research grant opportunities and track deadlines
    • Gather data for reports; assist with proposals (RFPs, RFFs) and donor thank-you letters

    Basic Finance & Reporting

    • Track receipts and enter expense reports (Google Sheets/QuickBooks)
    • Prepare weekly cash-flow summaries and coordinate reimbursements

    Resource Development & Inventory

    • Source and order program supplies (once operational)
    • Maintain inventory lists; liaise with local partners for in-kind donations

    Data Management & Metrics

    • Build trackers for attendance, volunteer hours, and feedback
    • Pull basic trend reports for leadership and grant reporting

    Training Materials & Documentation

    • Draft/update process guides and policy manuals
    • Maintain a shared “playbook” for smooth volunteer onboarding

    • Strong organization, attention to detail, and multitasking skills
    • Excellent written/verbal communication
    • Proficiency with Microsoft Office, Google Workspace; basic Azure/VOIP familiarity
    • Discretion handling confidential information
    • Commitment to our mission and values
    • U.S. residency (volunteer requirement)

    Preferred: office/admin experience or nonprofit/start-up background
