    Position Summary:

    The Program Coordinator plays a vital role in fostering a smooth, supportive experience for the community members served by the Groveland Council on Aging. This part-time position of 16 hours per week, combines interpersonal engagement, logistical coordination, and administrative support, with a focus on facilitating access to programs and services that enhance quality of life. The ideal candidate is service-oriented, organized, and demonstrates a thoughtful, adaptable approach. They are committed to creating an inclusive, welcoming environment for people of all ages and backgrounds.

    This role reports directly to the Director of the Groveland Council on Aging.

    Position Title: Part-Time Program Coordinator

    Hours: 16 hours/week (Mon - Thurs, ideally 4 hours a day, taking place between 9-2pm or 10-3pm)

    Pay Rate: $20/hour

    Location: Onsite, Groveland Town Hall, 183 Main Street, Groveland, MA 01834

    Key Responsibilities and Time Allocation:

    General Communication & Triage (50%) - 8 hours/week

    • Serve as the initial point of contact, answering phone and email inquiries with empathy and precision, ensuring that all community members feel respected and heard.
    • Triage requests and ensure timely follow-up, demonstrating empathy and professionalism in all interactions.
    • Prioritize and respond to requests thoughtfully, recognizing that the support provided often has a significant impact on the well-being of those seeking assistance.

    Program Registration & Coordination (30%) - 5 hours/week

    • Assist community members in registering for programs, ensuring all interactions are clear and user-friendly.
    • Maintain and update program registration lists, paying attention to detail.
    • Approach each interaction with sensitivity, acknowledging that individuals may require additional assistance or accommodation

    Program Set-Up & Support (10%) - 1.5 hours/week

    • Assist with the setup of programs and events, from preparing materials to arranging spaces to ensure accessibility for all participants.
    • Work collaboratively with staff, volunteers, and participants to make sure programs run smoothly and efficiently.

    Minimal Marketing & Promotion (5%) - 0.5 hours/week

    • Post on social media platforms using pre-designed templates to help promote programs and events.
    • Support with calendar listings and ensure program details are accurate and up to date on public calendars.
    • Assist the Director with simple, routine marketing tasks as time permits.

    Administrative Tasks & Other Duties (5%) - 0.5 hours/week

    • Assist with routine administrative tasks such as data entry, filing, and record-keeping to maintain efficient office operations.
    • Participate in other duties as assigned to support the Council’s programs and services, fostering an inclusive, collaborative environment.

    • Adaptability: Flexibility in handling shifting priorities, with a willingness to assist with a range of tasks as needs arise, contributing to a collaborative, team-oriented environment.
