    Job Title: Director of Finance and Administration

    Location: Stoneham, MA

    Job Type: Full-time, Exempt

    Reports To: Chief Executive Officer (CEO)

    Salary: Commensurate with experience, $85,000 - $95,000 per annum

    Position Summary:

    We are seeking an experienced, strategic, and hands-on Director of Finance and Administration to lead our financial operations and administrative functions. This role oversees all accounting, budgeting, compliance, contracts, insurance, capital projects, facilities and information technology systems. The Director is a key member of the senior leadership team and works closely with the CEO, COO, Board Finance Committee, and department leaders.

    Key Responsibilities:

    Financial Operations

    • Manage all aspects of finance including accounting, budgeting, forecasting, grant reporting, and compliance
    • Lead financial planning and reporting across departments and with external stakeholders
    • Oversee accounts payable/receivable and serves as back up for payroll processing
    • Ensure compliance with GAAP, IRS, and federal/state grant requirements
    • Lead annual audit preparation and financial/ administrative report submissions.

    Contract & Insurance Management

    • Oversee development and execution of contracts
    • Manage insurance policies and broker relationships
    • Ensure timely renewals, claims support, and adequate coverage

    Capital Project Oversight

    • Support budgeting and planning for major capital improvements
    • Manage bid/contract process and ensure financial compliance

    Board & Strategic Support

    • Serve as liaison to Board Finance Committee
    • Prepare regular financial reports and assist with strategic planning

    IT Oversight

    • Develop strategic IT plans, oversee IT support and relationships with vendors
    • Ensure cybersecurity and PCI compliance efforts

    Facilities Oversight

    • Oversee the Club's facilities, including maintenance, repairs, and renovations.
    • Planning for future facility needs, including renovations, upgrades, and new construction.

    Staff Supervision

    • Supervise Facilities Director, Bookkeeper and IT Specialist
    • Provide mentoring, coaching, and performance management

    Qualifications & Skills:

    • Bachelor’s degree in Accounting, Finance, or Business (CPA/MBA preferred)
    • 5+ years’ progressive finance experience, preferably in nonprofits
    • Strong background in grant reporting, capital projects, and contract/insurance management
    • Knowledge of nonprofit accounting, fund accounting, and federal compliance standards.
    • Experience managing technology systems and working with external IT vendors
    • Experience with QuickBooks, Salesforce, Bill.com, MS Office and Google suites and cloud-based platforms
    • Proven leadership, communication, analytic, relationship-building and strategic thinking skills
    • Valid driver’s license and ability to travel locally

    Work Environment & Physical Requirements:

    • Office-based with occasional off-site meetings
    • Must be able to lift/move up to 30 lbs
    • Regular sitting, standing, and computer work required
    • Willing to work flexible hours including evenings/weekends as needed.
