    Position Summary

    We’re looking for an Operations Manager who understands how essential behind-the-scenes work is to building real power and getting important things done.

    This role is for someone who can hold both the details and the big picture—who thrives on keeping systems tight, timelines moving, and information flowing. You’ll work closely with our team to coordinate logistics, manage data and online tools, and support the financial and administrative backbone of our work.

    The ideal candidate is collaborative, self-directed, and deeply values the role that strong operations play in advancing our mission. We need someone who is:

    • Process oriented: Comfortable designing workflows, automations, and process maps
    • Detail-obsessed and organized: You love a checklist and have a system for everything
    • Tech-savvy: Proficiency with GSuite, Notion, and other notetaking and project management tools
    • Calm under pressure: Able to juggle multiple deadlines and switch gears as needed
    • Collaborative Team player: Comfortable facilitating and working solo as long as it gets us where we need to go

    Key Responsibilities:

    1. Financial & Administrative Operations
      • Maintain organized financial records, including monthly bookkeeping, invoices, reimbursements, incoming correspondence and contracts.
      • Support development and fundraising efforts through documentation, tracking, and reporting for grants and individual donations.
    2. Systems Implementation & Data Management
      • Manage and maintain data quality across systems (e.g., EveryAction, program databases, spreadsheets)
      • Assist in development and documentation of policies, procedures, and workflows
      • Ensure document organization and shared drive upkeep
    3. Project Support & Internal Coordination
      • Keep the team on track by attending and sometimes facilitating meetings, scribing key points, and developing timelines and goals using tools like Notion and project templates.
      • Maintain project tools, draft agendas, take notes, track action items, and coordinate logistics for meetings and events.
    4. Technology, Tools and Administrative
      • Provide support for organizational operations and programming by overseeing supply orders.
      • Support staff use of internal tools (GSuite, Notion, EveryAction, etc.) and external applications (Uber, Lyft, Mailchimp, Paychex etc).
    5. Flex/Special Projects
      • Jump in where needed to support team operations and special projects.

    Experience & Qualifications:

    We recognize that skills come from many places—paid work, volunteer roles, organizing, and life experience. We’re looking for someone who brings:

    • 2–5 years of experience in operations, administration, project management, or a comparable role
    • Experience tracking goals, managing grant deliverables, and maintaining systems with consistency and accuracy
    • Proficiency with project management tools and systems (e.g., Notion, Google Workspace, CRMs like EveryAction)
    • Strong written communication and documentation skills
    • Collaborative and clear communicator, with a willingness to take initiative and help the team meet ambitious goals
    • Commitment to our mission and a clear understanding of how strong back-end systems support organizing and build power

    This is a full-time position with a salary of $55,000 plus benefits. The role is hybrid (with in-person days at LEV’s office at 3675 Market Street in Philadelphia). We believe in fair pay, rest, and working in ways that honor people’s full lives.

    • Health/dental/vision insurance, and annual Wellness Grant that allows us to take care of our staff
    • LEV offers paid time off, as well as a month-long pause in July
