    Position Title: Repatriation Administrative Assistant

    Reports to: Repatriation Administrative Manager

    Details: 40 hours per week, remote, preferably based in Baltimore

    Salary range: $40,000- $42,000 annual

    Position Objectives: Support the U.S. Repatriation Program through administrative tasks, including processing debt waivers, reimbursements, and statistical reporting, as well as managing data collection and retrieval. Assist in handling repayments, loans, and waivers for U.S. citizens returning to the United States.

    Qualifications: ISS-USA seeks a flexible, energetic, creative, detail-oriented individual. Candidate must have outstanding technology skills including expertise in all Microsoft Office Suite; strong communication, interpersonal, organizational, and time management skills; and a proven track record of managing administrative tasks in a professional setting. The ideal person will swiftly grasp program operations and demonstrate their ability to work independently with minimal supervision. The ideal candidate has a willingness to contribute across all program tasks. Must have outstanding attention to detail.

    Associate degree with 2-3 years of administrative experience, is required. Demonstrated administrative experience may be substituted for baseline educational requirements. Experience with databases is preferred. Candidate must embrace the ISS-USA culture which includes ISS-USA’s mission, vision, and core values, and have a sense of humor.

    Responsibilities:

    Administrative Duties:

    1. Process and review all repatriation reimbursement invoices, including Department of State (DOS) Fare Share invoices and program-related internal credit card transactions; track data and ensure all information is included in appropriate data files, provide detailed findings of omissions, non-compliance, and discrepancies, make recommendations for payment, and create reimbursement packets for internal review and submission to the Office of Human Service Emergency Preparedness and Response (OHSEPR).
    2. Process address requests submitted by the DOS.
    3. Receive, log, respond, and process repatriate requests, and inquires for debt waivers.
    4. Complete summaries for waiver requests from Repatriates, organize and maintain file information.
    5. Refer, track, and process appropriate repatriate debt to the Program Support Center (PSC); update and include financial transactions, debt referrals, and waiver referrals to repatriate electronic files.
    6. Prepare and process financial documents to provide to PSC for debt support.
    7. Regularly assist with requests from PSC, OHSEPR, and other agencies as required.
    8. Maintain electronic files with detailed instructions on how to perform all tasks/duties and responsibilities; including filing of financial documents for reimbursements paid.
    9. Conduct tasks within the office, such as handling mail processing.

    Data and Reporting Duties:

    1. Ensure reimbursement and collection data is entered correctly in the program database to maintain the integrity and validity of statistical information.
    2. Provide statistical data for monthly reports for the Repatriation Program.
    3. Expand and regularly update current data entry manuals.
    4. Perform all other tasks as assigned.
