    ABOUT THE POSITION

    The Administrative Coordinator is a key member of the CSHE team, providing executive support to the Executive Director and cross-functional support to the operations, programming, and communications team. This role ensures the smooth coordination of meetings, logistics, program activities, and operational processes, and also serves as a liaison across program areas.

    The ideal candidate is a proactive, highly organized, and detail-oriented problem solver with excellent time management skills. You have experience in executive support, administrative coordination, or project coordination, with an interest in community-led work.

    This is a fully remote position (within the U.S. and its territories), with occasional travel required for team events and/or partner site visits. The role reports to the Operations Manager and is eligible for employer-supported benefits.

    RESPONSIBILITIES

    • Provide executive support to the Executive Director, including calendar management, drafting communications, and coordinating meetings across time zones.
    • Draft and distribute internal and external communications including newsletters, announcements, and meeting updates to staff, funded partners, committee members and the broader network.
    • Coordinate and facilitate team and program meetings such as learning communities, skills & strategies sessions and committee meetings, by preparing agendas, taking and disseminating notes, tracking follow-up tasks, and ensuring accessibility through ADA compliance and language interpretation, including bilingual translation.
    • Track and process contractor invoices, reimbursements, honoraria, and monthly financial statements in a timely manner and in alignment with internal policies and audit requirements.
    • Monitor and track monthly expenses to support budget management, contractor payments, and financial reporting.
    • Coordinate travel arrangements for staff, funded partners, and contractors including flights, lodging, and meals in compliance with travel policies.
    • Support event planning and execution, including project coordination, development and translation of materials, vendor sourcing and coordination, shipping of event collateral, and on-site support.
    • Develop, maintain and update organized electronic filing systems for contact lists, contracts, agreements, policies, and other program documentation.
    • Serve as a program liaison ensuring funded partners and committee members are supported and informed of upcoming commitments and responsibilities.
    • Perform other duties as assigned.

    QUALIFICATIONS

    Required

    • 1–3 years relevant experience providing administrative or executive support, preferably within nonprofit, philanthropic, or civic settings.
    • Proficiency in Google Workspace, Outlook, Excel, Asana, and Zoom, with an aptitude for learning new software and related technical skills.
    • Experience coordinating events and travel
    • Strong organizational skills and attention to detail; able to manage multiple deadlines.
    • Excellent communication, interpersonal and follow-through skills.
    • Flexibility and versatility in a changing work environment.
    • Comfortable working independently and collaboratively in a fully remote environment.
    • Ability to work independently and collaboratively in a remote setting.
    • Able to take initiative, process information quickly, and make responsible decisions.
    • Able to build relationships across cultures and work styles.
    • Ability to travel at least twice a year for program events or team retreats.
    • Access to reliable and secure internet for remote work.

    Preferred

    • Bilingual in Spanish (verbal and written).
    • Excellent interpersonal skills – ability to build relationships and relate to partners from‬ different cultures and backgrounds.‬
    • Experience working with community-based organizations or in grassroots settings.
    • Demonstrated cultural humility and sensitivity.

    LOCATION

    This is a fully remote position. While location is flexible, preference will be given to candidates located in or near the Atlanta, GA metro area.

    COMPENSATION & BENEFITS

    The salary range for this position is $60,000-$67,000, dependent on experience. CSHE-P, via the Cultural Wellness Center, offers medical and dental coverage, paid national holidays and vacation days.
