    POSITION SUMMARY

    The Advancement Services Director (ASD) is responsible for the management of the Advancement database system (Blackbaud Raiser's Edge NXT), including data collection and dissemination, constituent records, moves management, prospect research and management, gift processing, acknowledgement data, analysis, and report preparation. The ASD is a contributing member of the Advancement staff committed to optimizing the use of the database to support the achievement of fundraising goals.

    ESSENTIAL DUTIES

    Collaboration with the Chief Advancement Officer (CAO) on data needs, trends, systems, and reports that help the Advancement Department function at a high level.

    Data Management- Fund establishment- Gift entry - Daily gift log- Weekly trend report, month-end, and annual year-over-year reporting on all gift activity- Maintain the integrity of the database, update data, collect and input information, and coordinate with IT to ensure data integrity between school data software systems- All data and list requests with high attention to detail- Statistical and analytical reports of gifts, donors, and constituents as needed

    Prospect Management - Strong collaboration with CAO to ensure optimization of portfolio management - Solicitation forms- Pledge reminders and processes- Monitor "opportunities" in the database - Metrics reporting and analysis, work closely with CAO on progress and trends - Pipeline meeting collaboration with CAO and fundraisers- Provide prospect research using iWave or a similar database

    Department Support- Reconcile gift information with the Business Office and balance monthly- Build reports to increase fundraiser autonomy, monitor industry trends, and present to the department.- Participate in Department and School meetings and events, which may occur in the evening or on weekends

    OTHER DUTIES

    • Participate in ongoing professional development and training to support Catlin Gabel's mission
    • Complete other work as assigned by the CAO

    INTERPERSONAL CONTACTS

    • Occasional to frequent contact with faculty, staff, parents, and alumni regarding giving and biographical updates

    COMPETENCIES

    • Strong analytical skills and the ability to apply them to develop operational systems
    • Command of Raiser's Edge, or similar software, to enter, extract, and format data, and build reports
    • Knowledge of gift processing and financial reconciliation between Advancement and Business Offices
    • Experience conducting prospect research
    • Experience working directly with fundraisers
    • Experience building or monitoring prospect management systems
    • Ability to focus and maintain the highest standards of accuracy
    • Strong interpersonal communication skills
    • Ability to manage highly confidential information
    • Excellent organizational, coordination, and prioritization skills
    • Proficient writing and presentation skills

    MINIMUM QUALIFICATIONS

    • BA or BS from an accredited college or university preferred, OR equivalent combination of education and experience
    • 3 years minimum database experience required
    • Experience with Raiser's Edge strongly preferred
    • Experience in fundraising, gift processing, and data extrapolation and analytics
    • Experience with prospect research
    • Strong database and spreadsheet skills required

    • Frequent interaction in person, by phone, or in writing with individuals of various backgrounds and relations to the school- This includes students, families (current and prospective), colleagues, outside associates of the school, and businesses

    SCHEDULE

    • This is a year-round, full-time position. Occasional evenings and weekends, required.
