    Position Summary

    The Administrative Manager for Columbia Global oversees daily operations across its three offices (Lee Bollinger Forum Building at 605 West 125th Street, the Nash Building at 3280 Broadway, and the MLK Building at 91 Claremont Avenue). This role is responsible for implementing efficient processes that align with Columbia Global’s mission and support both staff and leadership. The Manager collaborates with colleagues across the organization to ensure a responsive, confidential, and professional office environment. The position reports to The Assistant Director of Operations.

    Responsibilities

    • Manage multiple projects with discretion and deliver accurate, timely results.
    • Provide executive-level support, including calendar, travel, and meeting coordination.
    • Coordinate logistics for events and conferences, partnering with vendors for high-quality, cost-effective execution.
    • Support employee onboarding/offboarding, including equipment setup and inventory.
    • Oversee daily office functions and prepare materials for leadership.
    • Finance with procurement, reimbursements, vendor setup, and reconciliations.
    • Serve as primary contact for guests and external inquiries to senior leadership.
    • Prepare detailed travel and expense reports.
    • Train new staff in administrative procedures.
    • Lead special initiatives and improve existing workflows.

    Note: This position requires on-site presence five (5) days a week.

    Minimum Qualifications for Grade:

    Bachelor’s degree and/or its equivalent required. Minimum 3-5 years of related experience is required.

    Additional Position-Specific Minimum Qualifications:

    • Strong discretion, judgment, and experience handling confidential matters.
    • Proven event planning and vendor coordination experience.
    • Exceptional communication and customer service skills.
    • Detail-oriented team player who thrives in fast-paced environments.
    • Advanced Microsoft Office skills for spreadsheets, reporting, and data management.
    • Reliable, punctual, and flexible with scheduling, including evenings/weekends if needed.

    Preferred Qualifications:

    • Prior experience supporting senior executives.
