    Position Overview

    The Program Coordinator plays a pivotal role in ensuring seamless execution of Give an Hour’s core service functions. Acting as a connective hub across departments, this role supports the operational flow of provider relations, customer experience, peer support, training and partnership activities.

    Reporting to the Director of People and Projects, the Program Coordinator is responsible for triaging critical inboxes, tracking high-priority referrals, and supporting data entry and file hygiene in Salesforce. This role requires a customer-first mindset and comfort managing sensitive information with discretion and empathy.

    Key Responsibilities:

    Volunteer Mental Health Professional Support (Provider Relations)

    • Monitor and manage the Provider Relations inbox
    • Conduct provider license verifications and maintain documentation
    • Clean and update provider records in Salesforce (e.g., hidden status, undeliverable emails, credentialing info)
    • Track provider availability and client acceptance patterns

    Client Experience Support

    • Execute follow-up communications for all client registrants within a 48–72 hour window using an approved script – including phone calls and emails
    • Triage and escalate submissions from the clinical referral inbox
    • Update Salesforce records to reflect eligibility and interests and track ongoing communications
    • Support tracking of high-profile, aging, or complex referral requests
    • Coordinate with facilitators to ensure peer support group attendance is tracked properly
    • Maintain confidentiality and apply trauma-informed communication protocols when handling sensitive client information

    Training & Partnerships

    • Triage and elevate requests from the Opportunities inbox
    • Support small contract/partnership agreements and templates as needed (in coordination with the COO)

    Project & Admin Support

    • Assist with team file organization and shared resource upkeep (Teams/SharePoint)
    • Contribute to monthly and quarterly impact reports (e.g., pulling data, organizing testimonials, etc.)
    • Help document and improve workflows for triage, client handoffs, and standard responses

    Qualifications:

    • 2+ years of relevant experience in administrative support, nonprofit operations, or mental health services
    • Strong attention to detail, organizational skills, and a commitment to quality
    • Familiarity with Salesforce or ability to learn it quickly; prior database experience a plus
    • Strong written communication and proofreading skills
    • Ability to manage multiple workflows with clarity, professionalism, and emotional discretion
    • Comfort handling confidential and sensitive information
    • Experience or demonstrated interest in trauma-informed service delivery, mental health care, or peer support preferred

    Position Elements and Benefits:

    • Salary: $50,000 - $55,000 annually
    • Benefits include: Health Insurance options, 403b with 2% match, EAP, 6-weeks PTO, 2 floating holidays, 12 paid Federal Holidays, paid parental leave
    • Location: Remote position with 10-15% reimbursable travel or meetings outside of the home office
