    Organizational Summary:

    Prevention Point Philadelphia (PPP) is a multi-service public health organization dedicated to protecting the health and welfare of the homeless, drug users, sex workers, and the uninsured. Using a harm reduction approach, PPP offers culturally sensitive, non-judgmental services to address the health and social service needs of drug users and sex workers in Philadelphia. PPP meets people where they are, providing information and access to resources with dignity and respect. PPP promotes harm reduction through mobile medical care, sterile syringe exchange, referrals to social services, and comprehensive prevention case management services.

    Position Overview:

    The Shelter Operations Coordinator is part of the leadership team in PPP’s homeless services department. Their focus is on supporting the department’s newest emergency shelter program providing housing, medical care, and other supportive services to up to 90 individuals. Shelter residents are provided housing, meals, showers, laundry facilities, and case management services. The Residential Coordinator is responsible for overseeing the management of operations for the project. They are responsible for managing the day-to-day logistics of shelter operations including supervision of the daily support staff teams through supervision, coaching, and training. The Residential Coordinator works with other shelter leadership to create and maintain a clean, safe, and comfortable environment for residents.

    Job Duties and Responsibilities:

    • Lead the hiring, onboarding, and training of shelter support staff.
    • Responsible for processing and approving bi-weekly department payroll.
    • Complete training for data management systems and oversee facilitation of necessary data entry and ensure compliance with contractual requirements.
    • Manage Shift Supervisors and oversee management of daily schedules including callouts.
    • Engage, interact, and work towards fostering positive relationships with shelter guests.
    • Conduct regular individual supervision with Shift Supervisors and support direct supervision of support staff as needed.
    • Manage the inventory of shelter supplies and oversee the ordering of all program supplies.
    • Work closely with contracted food providers to ensure meals meet the needs of shelter guests. Facilitate the purchasing and distribution of other food items and snacks.
    • Maintain the safety and security of residents, staff, volunteers, equipment, and building. Liaison regularly with contracted security team members to address issues and concerns related to participant safety.
    • Work with contracted providers to maintain the cleanliness and maintenance upkeep of the facility.
    • Regularly conduct facility inspections and assist staff in maintaining resident bedrooms.
    • Understand all PPP programs, programs operating at Philly Home, and external resources available to shelter guests. Assist clinical staff with connecting shelter guests to necessary social resources and community resources.
    • Evaluate program policies and procedures and facilitate the roll out of new programmatic procedures.
    • Complete training and obtain BLS certification and effectively respond to emergent situations as needed.
    • Willingness to be trained and assist medical staff with the distribution and management of guests medications.
    • Create and or maintain filing systems, both electronic and physical.
    • Complete receipt vouchers and invoice requests.
    • Actively participate in supervision, team, interdepartmental, and staff meetings.
    • Participate in department leadership on call rotation.
    • Other tasks as assigned by supervisor.
    • Please note that this job may sometimes require working staggered, non-traditional hours including evenings and some weekends.

    Minimum Qualifications and Preferred Skills:

    • Strong computer and professional writing skills
    • Position requires working knowledge of Microsoft Office products including Outlook, Word and Excel. Candidates must have the ability to open, create, save and modify documents in Word, send and receive email in Outlook and create spreadsheets in Excel.
    • At least two years’ experience with communities impacted by homelessness, substance use, and/or HIV. Staff supervision experience strongly preferred.
    • Fluency in English and Spanish strongly preferred
    • Valid driver’s license preferred
    • Knowledge of Philadelphia homeless and housing services.
    • Demonstrated commitment to advocacy and social justice, particularly as related to harm reduction, poverty, and homelessness.
    • Skill in communicating effectively with a variety of people of different backgrounds
    • Ability to use a harm reduction approach to housing and substance use
    • Ability to work independently and as part of a team
    • Ability to navigate public transportation and work outdoors
