    Position Summary

    Acorn Outdoor Learning is seeking a highly organized, proactive, and flexible Administrative and Operations Assistant to support both year-round administrative tasks and seasonal on-the-ground operations. During the summer (15-25 hours a week), the role includes consistent on-site support for our outdoor programs, helping ensure smooth, safe, and welcoming experiences for children, families, and staff. During the school year (up to 15 hours a week), work will be hybrid and focus on behind-the-scenes coordination and communications. This is a great opportunity for someone who enjoys both independent, detail-oriented work and dynamic, in-person teamwork in outdoor settings.

    Key Responsibilities

    Summer Season (Primarily On-Site in D.C.)

    Program Logistics & On-Site Support

    • Provide daily on-site support for summer camp and events (typically weekday mornings)
    • Set up materials, check-in stations, and signage before program start
    • Greet and assist families during morning drop-off
    • Coordinate with program staff to ensure smooth daily operations and troubleshoot any logistical issues
    • Monitor supplies and help replenish or organize materials as needed
    • Support basic child supervision if necessary and in line with safety protocols
    • Assist with end-of-day clean-up and packing
    • Other duties as assigned

    School Year (Primarily Remote)

    Administrative & Operational Support

    • Manage organizational email account and respond to general inquiries and caregiver requests
    • Send donor acknowledgement emails and letters
    • Support scheduling for meetings, events, and staff activities
    • Assist with registration logistics and internal communications
    • Track and manage supply inventory and orders
    • Help draft and distribute newsletters, family communications, and donor updates
    • Update the website and social media with current program information
    • Manage enrollment for school year and summer programs, manage waitlist, and correspond with families as appropriate
    • Support budget and financial reporting
    • Other duties as assigned

    Qualifications

    • Excellent organizational and time-management skills
    • Strong written and verbal communication
    • Comfort working independently and collaboratively
    • Experience with Google Workspace, Canva, Mailchimp, and website/social media platforms
    • Willingness and ability to work outdoors in varying weather conditions during the summer season
    • Friendly, adaptable, and able to stay focused in dynamic settings
    • Prior experience in administrative, operations, or youth program support roles preferred
    • Interest in environmental education, nature-based learning, or nonprofit work is a plus
    • Experience with Playground or another Child Care Management System

    Compensation and Schedule

    • Hourly Rate: $20/hour, based on experience
    • Schedule:
      • Summer Season (June–August): 15–25 hours/week, mostly in-person School Year (Sept–May): up to 15 hours/week, flexible and remote weekday mornings
    • Start Date: As soon as possible
