    Description

    The Dairy Arts Center is looking for a dynamic Operations Manager to join our team in Boulder, Colorado.

    For over 30 years, the Dairy Arts Center has been Boulder’s largest multi-disciplinary nonprofit arts organization dedicated to providing diverse opportunities to create, learn, and engage in high-quality performing, cinematic, and visual arts experiences. As the home of Boulder’s only year-round arthouse cinema, winner of Best of Boulder Visual Art Galleries 6 years in a row, and the premier venue for over 150 local and regional arts organizations annually, there is always something exciting happening at the Dairy Arts Center.

    The Operations Manager will work to effectively and efficiently implement the operational plan of the organization. This individual is accountable for the internal policies and procedures that support the strategic and operational plans set forth by the Executive Director and Dairy Arts Center Board of Directors. This position is accountable for maintaining and enhancing the internal organization and infrastructure necessary for the continued growth and sustainability of the Dairy Arts Center and reports to the Executive Director.

    ESSENTIAL FUNCTIONS

    Administrative Management Responsibilities

    • In collaboration with other managers, develop and maintain training materials
    • Work with other managers to periodically review theater rental guideline and contracts
    • Reconcile daily cash, credit card and check deposits from all profit centers
    • Review monthly budget to actuals operational and facilities reports with Executive Director
    • Manage employee, client and vendor building access including keys and access codes
    • Responsible for general office management including supplies and organization
    • Review and code all operational invoices and ensure they are submitted for payment
    • Manage company credit cards including assignment of new credit cards, account code review for all employees, follow-up with staff for monthly coding
    • Issue annual 1099s – collect W9s from clients
    • Finalize preparation of contracts & Letters of Intent for rental clients
    • Invoice Clients & Process settlement reports

    Facilities Management Responsibilities

    • Make sure all areas of the Dairy building and surrounding property are safe, clean and in good working order including but not limited to:
      • Oversight of day-to-day maintenance of the public and outdoor spaces and facilities of the Dairy including spot cleaning, minor maintenance, touch up painting, light manual labor and semi-skilled work
      • Coordinate with department managers and resident organizations regarding building needs and issues
      • Serve as primary point of contact and contracting agent for all facility needs including utilities, maintenance, security, and appropriate local government agencies such as fire, police, health, and safety
      • Manage all operational vendors and contracts including preventative maintenance plans and necessary building repairs and maintenance to include but not limited to janitorial, landscaping, elevator, HVAC, plumbing, IT, Waste Management, and Security
      • Develop and implement preventative maintenance procedures; maintain the inventory and warranty records for equipment and supplies
      • Ensure all processes remain compliant with OSHA health and safety regulations and other governmental regulations
    • Maintain Facilities budget and assist Executive Director in creating annual Facilities budget
    • Weekly Set EMS (Electronic Monitoring System) to monitor & program HVAC units for energy efficiency

    General

    • Maintain positive relationships with colleagues, vendors, constituencies of The Dairy Center for the Arts, Facilities Department of City of Boulder, and Boulder Police Department
    • Demonstrate commitment to the mission of The Dairy Center for the Arts
    • Perform other related duties as assigned by the Executive Director
