    About PureLegacee

    The mission of PureLegacee Inc is to serve as a haven of healing for females ages 16-24 who have experienced trauma as a direct result of the criminal justice system and/or aging out of foster care and facing homelessness. To accomplish this mission, PureLegacee Inc. provides an alternative to incarceration and advocates for justice reform at a grassroots level. PLI uses training and advocacy as tools to impact systemic change.

    Reporting to the Chief Executive Officer (CEO), the Office Manager is a hybrid role that blends general administrative functions with direct executive support. This position is responsible for ensuring the smooth, efficient, and professional operation of our Brooklyn office while supporting the CEO in managing day-to-day priorities and strategic initiatives.

    The ideal candidate is highly organized, detail-oriented, resourceful, and comfortable juggling multiple responsibilities in a mission-driven environment.

    RESPONSIBILITIES

    Administrative Support

    • Oversee daily office operations, including supplies, equipment, deliveries, and overall upkeep.
    • Facilitate onboarding for new hires, including setting up equipment, email, and phone systems, and providing training on organizational practices.
    • Track office-related budgets and handle purchasing needs.
    • Maintain organized filing systems (both physical and digital), manage databases, and ensure accurate record keeping.
    • Code expenditures, store invoices, and maintain financial documentation
    • Assist in preparing grant proposals, fundraising appeals, and required reporting.
    • Prepare and send timely donor acknowledgement letters and receipts.

    Executive Support

    • Provide high-level administrative assistance to the CEO, including email response management, scheduling and travel arrangements.
    • Prepare materials for meetings, reports and presentations.
    • Handle confidential information with professionalism and discretion.

    People & Culture

    • Schedule, plan, and provide support (including note taking) for staff meetings, annual retreats and program events.
    • Partner with leadership to refine and manage onboarding processes for all team members.
    • Create onboarding materials, posting job openings, and set up organizational technology.
    • Serve as the first point of contact for staff regarding policies, benefits, and HR-related queries.
    • Support initiatives to strengthen internal communication and collaboration across the team.

    Relationship Management

    • Serve as a liaison between the CEO and the Board of Directors.
    • Coordinate board meetings, prepare agendas, and ensure timely distribution of materials.
    • Maintain accurate records of board activities, including minutes.
    • Facilitate effective communication and collaboration between board members and senior management.
    • Manage relationships with key vendors, stakeholders, and community partners.

    QUALIFICATIONS

    • Associate’s degree in business administration, office management, or related field (Bachelor’s degree preferred).
    • Minimum of 3–5 years’ experience in office administration, executive support, or operations management, preferably in a nonprofit or mission-driven setting.
    • Demonstrated ability to manage multiple priorities with strong attention to detail and follow-through.
    • Proficiency with Microsoft365, Google Workspace, ZOOM, Canva, and Monday.com.
    • Strong written and verbal communication skills, with the ability to draft professional correspondence and reports.
    • High level of discretion and professionalism when handling sensitive and confidential information.
    • Strong interpersonal skills with the ability to build positive relationships with staff, leadership, board members, and external partners.
    • Ability to work independently and collaboratively in a fast-paced environment.
