    Job Summary:

    We’re looking for a reliable, action-and-detail oriented Facilities Coordinator keep things running smoothly across both work-sites at our non-profit organization. If you’re the kind of person who jumps in to solve problems, keeps things organized, and can be counted on to follow through — this role is for you. This is a doer’s job. You'll be getting your hands dirty with logistics, scheduling, organizing, tracking, and supporting just about everything that keeps the back-end of our organization moving.

    What You'll Do:

    Day-to-Day Operations

      • Track and follow up on ongoing tasks, projects, and deadlines.
      • Keep shared files, trackers, and documents up to date and easy to access.
      • Help streamline how we do things — find gaps, suggest fixes, present potential upgrades and changes to the Operations team for discussion.

    Scheduling & Coordination

      • Manage calendars and identify potential unaddressed situations.
      • Send reminders, follow-ups, and keep everyone on the same page with up-to-date information.

    Logistics & Inventory

      • Order, restock, and track supplies (equipment, office materials, etc.).
      • Work with vendors or service providers — get quotes, schedule repairs, handle deliveries.
      • Keep storage and supply areas tidy and well-documented.
      • Support Janitorial and Food Pantry staff with duties when necessary.

    Communication & Admin Support

      • Draft and send communications or updates from the Ops team.
      • Help with data entry, form-filling, and report formatting.
      • Take clear notes during meetings and follow up on action items.

    General Problem-Solving

      • Be the “go-to” person when something small breaks, falls through the cracks, or just needs to get done.
      • Jump in wherever needed — no task too small, no system too complex.

    What You Bring

      • Organized and reliable — you get things done, on time, without needing to be reminded.
      • Driver's license- Valid driver’s license in PA (car not required).
      • A communicator — clear in writing, confident talking to coworkers, vendors, or anyone else.
      • Flexible and calm — you can shift gears fast when plans change.
      • Detail-focused — you catch what others miss and make sure loose ends are tied up.
      • Problem-solver — you don’t just flag issues; you fix them (or know how to get them fixed).
      • Tech savvy – must utilize Microsoft 365 apps (Outlook, Teams, Excel, etc.) in daily work.

    Level of Language Proficiency
