    Position Description

    This position is responsible for the operation of the CASA Program and Courthouse Offices which includes but is not limited to greeting and directing volunteers and guests, managing and maintaining program information, corresponding and coordinating with court personnel, scheduling, maintaining databases and files, and general office duties.

    Responsibilities

    • Coordinate with DCFS and courthouse personnel to ensure that CASA receives complete case information.
    • Responding to and assisting Advocate Managers in obtaining case information.
    • Entry of new case information into program database.
    • Update program database with new information for all unassigned cases.
    • Managing and updating the Unassigned Case List.
    • Assist with the completion and updating of Case Opening Memos and update the program as needed for unassigned cases.
    • Maintain displays and other front office pamphlets with current items –bi-monthly, maintain appearance of the courthouse office.
    • Stock paper supplies near printer and in copy room as needed, organize other supplies as needed at the courthouse office.
    • Coordinate court hearing schedules and ensure program staff receive relevant information regarding cases.
    • Run monthly database reports; modify the database as requested by staff; act as liaison for the database program; assume responsibility for all database tasks as database administrator.
    • Run opima reports for grant reporting, coordinate necessary improvements and cleanup to database, provide program data for communications projects, and create new database reports when necessary ones do not exist.
    • Coverage of the CASA office front desk reception area during required in-person office days.
    • Complete other duties as assigned.

    Knowledge, Abilities and Skills

    • Working knowledge of general office practices and procedures.
    • Operating and troubleshooting courthouse office equipment, including copier, fax and computer.
    • Maintains effective computer skills including Microsoft Word, Excel, Outlook, Zoom, Microsoft Teams, Adobe and the program database.
    • Organize and maintain digital case files and work effectively using the program database.
    • Ability to work cooperatively with others.
    • Ability to organize and prioritize a workload as well as handle simultaneous tasks.

    • Completion of CASA Lake County’s 40-hour training program within the first quarter of hire.
    • Commitment to ongoing education, completing at least 12 hours per year of relevant continuing education.
    • Inputting daily timesheets.

    Education

    Bachelors Degree or equivalent.

New staff members are eligible for a total of up to 40 paid days off per year (15 paid holidays, 10 vacation days, 2 personal days, 10 sick days, 3 bereavement days, as well as parental leave as needed) with additional vacation time for each year of seniority. Through CASA’s hybrid work policy this role offers significant schedule flexibility. Working from home is possible Mondays, Fridays, and alternating Wednesdays.
