Workforce Development Program Coordinator
This position will carry out the planning, recruitment, enrollment, and execution of Island Harvest’s Workforce Skills Development Institute programs and manage related Key Performance Indicators and outcome reporting.
Job Responsibilities Include:
- Create and manage the program’s annual calendar, including cohort start dates, recruitment periods, Department of Labor registration deadlines, and graduation dates. Also create and manage detailed hourly calendars for each cohort, manages instructor scheduling, contracts, and sourcing, and coordinates instructional content to ensure alignment with program hour requirements, curriculum standards, and certification expectations.
- Create and maintain a system for ongoing year-round recruitment, oversee flyer content and distribution, schedule and conduct information sessions and agency visits, administer math and reading assessments, and manage the full application process to ensure a smooth experience for prospective students.
- Maintain an accurate and up-to-date Status Report for each cohort, conduct candidate interviews, and evaluate qualifications to make informed recommendations for acceptance, denial, or waitlist. In addition, manage all aspects of student enrollment, including notification letters, coordination of Accepted Students Day, and ensuring timely provision of student books, supplies, and materials, to support a seamless and successful onboarding experience.
- Coordinate field trips, employer visits, and other partner events; manage student communications in the event of delayed openings or closures; maintain program documentation such as attendance records and evaluations; manage instructor and vendor payments; provide student support during Guided Independent Work sessions; and capture photographs to document various aspects of the program.
- Oversee the graduation process from start to finish for each cohort. Responsibilities include drafting the agenda, inviting speakers, managing invitations, coordinating credentials, certificates, and government citations, ordering refreshments, and arranging additional support for check-in to ensure a seamless and well-organized event.
- Serve as the point person and key relationship manager for employer partners, agencies, community-based organizations, instructors, vendors, and Department of Labor career centers to support recruiting initiatives.
Requirements:
- Bachelor’s degree in Business or Communications or a related field of study, or equivalent work experience.
- Minimum of two (2) years of demonstrated experience working in training/ workforce/professional development programs or student-facing initiatives and supporting in-person and/or virtual programs and events. Must have previous experience working with diverse populations.
- Knowledge of Long Island workforce needs.
- Aptitude for managing multiple responsibilities simultaneously while working within deadlines and applying attention to detail.
- Proficient in computer applications (Microsoft Outlook, Word, Excel and PowerPoint and the Internet)
- Bi-lingual in English and Spanish is a plus.
