The Village of Arts and Humanities is seeking a highly motivated and people-centered candidate to join our Leadership Team as the Co-Executive Director for Operations. This is a full-time exempt position working on-site at least three days per week. The Co-Executive Director for Operations is responsible for the overall success of the organization in partnership with the Co-Executive Director for Programs and Initiatives and the Co-Executive Director for Land and Environment. This role leads the daily operations, development efforts, and oversees communications activities. The Co-Executive Director for Operations reports to the Board of Directors.
Responsibilities
Operations: Responsible for the daily operations of the Village including but not limited to HR, IT, policies and procedures.
- Oversee daily operations to ensure smooth functioning of the organization.
- Responsible for operations tasks, including but not limited to insurance, IT, financial prudence, grants management, and compliance.
- Create, revise, and ensure compliance with all operating procedures (safety, emergency, HR, finance)
- Manage HR functions including recruitment, hiring, orientation, training, and annual review process.
- Administration of benefits (401k, Medical, Dental/Vision), e.g., bi-weekly payments into 401k, timely enrollments in benefits, coordinate plan renewals.
- Ensure internal processes are consistent, e.g., annual feedback, goal setting, job descriptions are updated, and employee letters are sent at the start of each FY.
- Develop strategic partnerships between the Village and public, private and non-profit organizations to support the organizational common goals.
- Manage and support the Communications and Development Manager, Bookkeeper, Front Desk Coordinator, and contractors.
Financial Management & Fundraising: Responsible for the organization’s financial health by working with the Co-Executive Directors.
- Ensure timely invoicing and internal financial policies are followed by staff to help accounting complete monthly reconciliations.
- Oversee the completion of daily financial operations with the Bookkeeper.
- Complete the annual audit working with the auditors and accounting team.
- Lead the annual budgeting process.
- Responsible for financial management of the annual budget in partnership with the Co-Executive Directors with specific focus on the department budgets.
- Ensure program budgets are reviewed at Co-Executive Directors meetings and shared more broadly with staff.
- Ensure that the accounting team is providing monthly reconciliations and providing financial statements for review by the Co-Executive Directors and Finance Committee.
- Develop and execute a broad fundraising plan that increases the Village’s visibility among the Philadelphia philanthropic community including foundation, corporate and individual support.
- Ensure meeting deadlines, accuracy, and approvals of payroll, payments, and credit card receipts for the organization.
- Review, sign, and ensure compliance with agreements and contracts.
- Lead the efforts of the development team, ensuring meeting grant application deadlines and reporting.
- Work closely with the Communications and Development Manager to ensure ongoing visibility for programs and community engagement efforts.
- Engage the community through public speaking, publications, and media.
- Actively represent the organization through radio and television opportunities as they arise.
Organizational Leadership
- Build alignment across the organization working in tandem with the Co-Executive Directors.
- Articulate, cultivate, and ensure a clear organizational mission, vision, and strategy.
- Overcommunicate and facilitate transparency within the organization.
- Work with the Co-Executive Directors to build, sustain, and strengthen all board functions, building alignment while also maintaining role clarity between governance (board) and operations (staff).
- Create an organizational culture that aligns with the mission and values of the Village.
- Work collaboratively with the Co-Executive Directors.
- Prepare Board meeting agendas in partnership with the Board Chair and Co-Executive Directors.
Experience
- Five years of Operations experience including overseeing budgets, knowledge of nonprofit accounting practices, HR, and IT systems.
- Nonprofit fundraising experience in at least one of the following areas; grant writing, individual donors, and/or fundraising events.
- Alignment with and passion for the Village’s mission and values.
- Three or more years of managing a fiscal audit and managing staff.
- Ability to work collaboratively with the two other Co-Executive Directors.
- Preferred experience working within one or more of the following zip codes: 19133, 19122, 19140, 19132, 19121.
