    Description

    The Executive Assistant provides comprehensive administrative support to the CEO and senior leadership team, enabling them to focus on strategic priorities while ensuring smooth organizational operations.

    KEY DETAILS:

    • Time Commitment
      • An average of 20 hours per week (with advance notice, weeks may vary from 16-24 hours)
      • Seeking a long-term co-pilot who will partner with the CEO and be a part of the core team over the long-term (ideally, this is your long-term career plan!)
      • Candidates should be available for at least 4 hours on work days during the 8am – 7pm Central Time timeframe, as we operate during typical M-F business hours across US time zones
      • Ideally, candidates will be available for extended hours (up to full-time) during program retreats or in-person events (typically in October, January, and August)
    • Reports to: CEO and Founder
    • Status: Part Time Contractor, with the aim of Contract to Employee if a mutual fit
    • Work Location: Lake Forest, IL, with occasional travel for retreats or in-person events

    CORE RESPONSIBILITIES:

    Executive Support

    • Manage CEO's calendar, including scheduling meetings, events, and travel arrangements
    • Serve as primary gatekeeper and liaison for CEO communications
    • Handle sensitive correspondence and document preparation for executive-level interactions

    Strategic Project Support

    • Assist with high-priority strategic initiatives and organizational development projects
    • Conduct research and prepare comprehensive briefing materials for leadership decisions
    • Support fundraising activities, including donor research, proposal coordination, and funder relationship management
    • Coordinate strategic planning processes and implementation tracking

    Board Relations & Governance

    • Coordinate and prepare materials for board meetings, including agenda development and packet preparation
    • Manage board communications and follow-up on action items
    • Maintain board records and ensure compliance with governance requirements

    Stakeholder Engagement

    • Coordinate high-level meetings with funders, partners, and key stakeholders
    • Manage CEO's external commitments, including speaking engagements and sector events
    • Support relationship management with strategic organizational partners

    Relationship Management and Development

    • Serve as a positive ambassador of New Sector’s staff, programs, and brand at all times
    • Represent New Sector in conversations with existing and potential partners, funders, and Fellows, seeking opportunities for continued and new partnerships at all times

    Qualifications:

    • Bachelor’s degree required
    • At least 3 years of executive assistant or administrative support experience
    • Detail-oriented approach with ability to maintain quality standards under pressure
    • Exceptional organizational and time management skills
    • Strong written and verbal communication abilities
    • Proficiency with office technology and project management tools
    • Discretion and ability to handle confidential information
    • Experience in nonprofit sector preferred
    • Demonstrated commitment to and passion for New Sector’s mission

    Compensation:
