    About the role:

    The Development Operations Associate will be focused on providing administrative support for the Development Team with an additional focus on development operations processes. This role will be primarily responsible for gift processing and logging, invoice processing, database entry and management, as well as assisting the development team with project management and membership coverage. This position will require some database experience, proficiency in excel/google sheets, and some experience or participation in nonprofit development, administration, or operations.

    The Development Operations Associate will be crucial to ensuring that all donors, regardless of the size of their donation, are thanked in an equitable and timely manner. In keeping our database records updated, this role will enable more accurate demographic donor information, instrumental in cultivating younger and more diverse donors. The goal of this position is to support the Development Team in maintaining an accurate database with updated donor records, contribution records, and grant records.

    Responsibilities:

    • In coordination with the Associate Director of Development Operations, manage and execute the contribution processing system, ensuring accuracy and timely processing and reporting of gifts. Duties include: Collecting and sorting mail, leading the data entry of gifts into tracking spreadsheet, tracking and managing ACH and wire transfer updates, and coding weekly gifts for in-house batches;
    • Maintain Monday.com project management for Development Team projects and processes to increase transparency within and across teams, keep projects and processes consistently and frequently updated, and enable inter-departmental collaboration;
    • Provide administrative support to the Development Department to allow for a high standard of collaboration, including but not limited to meeting scheduling and agenda building; note taking and follow up; logistical coordination for any in-person meetings; routing vendor contracts for approval; processing and coding invoices;
    • Serve as backup support and coverage for membership inbox and phone; Ensure that all donors are answered in an equitable and timely manner, customer service is prioritized, and an inclusive environment is fostered for members;
    • Be responsible for routine database hygiene and updates that promote excellent data management, including but not limited to uploading attachments to donor gift records, updating changes to addresses, biographical details, and gift information, and maintaining grant reporting requirements and grant records within the database;
    • Collaborate with members of the development department on special projects;
    • Additional duties may be assigned consistent with the responsibilities and qualifications in this job description.

    Qualifications:

    • 2+ years of experience in administrative or operational support;
    • Proficiency in Microsoft and Google suites;
    • Experience with excel formulas;
    • Familiarity with databases;
    • Ability to manage multiple projects concurrently when necessary;
    • Strong interpersonal skills;
    • Strong writing skills;
    • Excellent organizational skills;
    • Experience in non-profit fundraising preferred;
    • Knowledge of diverse groups, working with a multicultural workforce and sensitivity to and appreciation of cultural differences;
    • Clear understanding of, and commitment to, Reproductive Freedom for All's mission, goals, and values; and
    • Commitment to ensuring anti-racism, diversity, equity, and inclusion are at the heart of our work and our organization.

    OPTIONAL: Nice-to-haves (or excited-to-learns):

    • EveryAction/NGP VAN experience
    • Experience with powerpoint, Canva, and other resource creation tools
    • Experience with project management tools like Asana or Monday
    • Event registration and event management software experience
