    Job Title: Administrative Assistant

    Location: Office Located inside Evergreen High School

    Position Type: Full Time

    Reports to: Program Director

    Position Overview:

    The Administrative Assistant supports the daily operations of the LNESC Upward Bound program and plays a key role in ensuring the office runs smoothly. In addition to clerical responsibilities, this position also assists with program coordination tasks, including student recruitment, application processing, and community outreach. The ideal candidate is highly organized, proactive, and passionate about supporting first-generation and low-income students on their path to higher education.

    Key Responsibilities:

    • Perform a variety of administrative and clerical duties to support program operations and staff.
    • Process student applications and assist with intake and onboarding procedures.
    • Support student recruitment efforts, including attending and tabling at school and community events.
    • Serve as the primary point of contact for phone calls, emails, and in-person inquiries; provide accurate program information and support.
    • Maintain student records and databases; assist with data entry, reporting, and tracking program milestones.
    • Coordinate meeting logistics, prepare agendas, and take and distribute meeting minutes.
    • Assist in planning and setting up for events, workshops, summer programming, and field trips.
    • Oversee inventory of supplies and assist with ordering and reconciling program expenses.
    • Support tutor coordination, including onboarding and scheduling.
    • Communicate with students, parents, staff, and community partners as needed.
    • Maintain organized filing systems for both digital and paper records.

    Qualifications:

    • High school diploma or equivalent required; college coursework or associate degree preferred.
    • At least 1-2 years of administrative experience, ideally in education or nonprofit settings.
    • Experience with outreach or student recruitment is a plus.
    • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and comfort working with databases.
    • Excellent interpersonal, written, and verbal communication skills.
    • Strong organizational skills with the ability to manage multiple priorities and deadlines.
    • Cultural competency and a commitment to working with diverse student populations.
    • Bilingual (English/Spanish) preferred but not required.
    • Ability to occasionally work evenings or weekends for events or recruitment.

    LNESC Upward Bound is a federally funded TRIO program that provides free academic support, mentoring, and college preparation services to first-generation and low-income high school students. Our mission is to empower students to succeed in high school, graduate, and pursue higher education by offering tutoring, college and career exploration, cultural enrichment, and summer academic experiences.
