    Vision for the Role

    As part of the ministry team at WPC, the Congregational Life & Office Manager organizes and manages various aspects of church hospitality, membership, and programming including coordinating volunteers, managing events, maintaining information systems, and facilitating effective communication. Working closely with the pastoral staff, they ensure pastors are well-informed, their schedules are coordinated, and church initiatives are successfully implemented. They also work closely with the church staff to build relationships, coordinate responsibilities, and ensure the church’s smooth operation.

    What You Will Do

    1. Complete administrative tasks for the pastoral staff as assigned, which includes, but is not limited to, drafting correspondence, coordinating calendars, managing church events and initiatives, and completing other tasks that facilitate the pastors’ ability to effectively lead the ministries of the church.
    2. Facilitate communication between the pastoral staff and internal and external constituents. Proactively assist pastors with prioritizing needs, researching issues, and responding to constituents as needed. Track follow-up to ensure timely communication.
    3. Partner with Sunday morning volunteers to execute the Sunday morning hospitality ministry. Recruit and train volunteers; organize and lead volunteers to ensure a welcoming experience for members and visitors; and provide support for Sunday classes, activities, and special events as needed.
    4. Work with the staff to gather information about events so we can publicize events and recruit volunteers.
    5. Provide administrative support to the Clerk of Session, Elders, and Deacons as needed. Act as the liaison between Elders, Deacons, and/or Committee chairs and the office staff to facilitate communication and assist with planning and implementing hospitality and fellowship events and other initiatives to increase engagement.
    6. Collaborate with the Events and Publications Coordinator and Director of Operations to coordinate building usage, event set-ups/clean-ups, and smooth transitions between events.
    7. Collaborate with the music director, pastors, program leaders, and liturgists to maintain and manage content for the worship grid.
    8. Serve as initial point of contact for church members seeking to communicate with the pastoral staff regarding personal concerns, prayer requests, pastoral care needs, or significant life events ensuring all member communications are efficiently received, documented, and relayed to the appropriate pastor with compassion, confidentiality, and timely follow-up.
    9. Act as primary contact for Weddings and Memorial Services. Manage Memorial Garden Plot availability and usage.
    10. Support office operations through managing the membership database, handling all aspects of the door security system and badge cards, and ordering office supplies as needed.
    11. Perform other tasks as necessary to function as a contributing member of the administrative team.

    Minimum Qualifications

    • Five years’ experience in office administration providing direct support to senior leaders, preferably in a religious or nonprofit organization
    • Proficient in Microsoft365 (Office, Outlook, Excel, PowerPoint, SharePoint, Teams)
    • Knowledge of CRMs (Constant Contact), church management systems (Shelby), and graphic design software (Canva)
    • Excellent written and oral communications skills
    • Detail-oriented and able to prioritize, coordinate, and track multiple projects
