    Location: Remote, CA residency required

    Start date: Immediately, as soon as possible

    Salary Range: $70,000- $80,000 depending on experience.

    The Administrative and Grants Manager is an exceptional communicator and analytical person who will play an important role in ensuring the dynamic and high-impact team at CA FWD have the resources and tools to deliver on the organization's mission. This position plays a key role in the organization's workflow by serving as a crucial link between various administrative and organizational processes, programs, and staff.

    The Administrative and Grants Manager will report to the Executive Director for Programs. This role will also work closely in coordination with the full CA FWD team, consultants, and partners, to effectively implement organizational administrative processes. Specifically, this position is responsible for providing attentive support both internally and externally. They should be skilled in grant writing and administration, managing administrative and daily operations processes, and project management.

    This role will also support additional programs and initiatives, including the California Economic Summit. The ideal candidate will be aligned with CA FWD's vision for a New California Economy and will play a critical role on the team. We are looking for someone who is collaborative, initiative-taking, and can bring creative solutions to their work and team.

    Job Duties

    Grant Operations

    • Grant proposals: Support program teams in completing grant proposals, including budget details, reporting requirements, and adherence to funder guidelines.
    • Budget management: Supporting grant budget reporting, tracking expenditures, and working with program staff to ensure funds are accounted for appropriately.
    • Compliance management: Ensuring that all grant activities comply with grant regulations and funder reporting requirements.
    • Grant reporting and communications: Assisting in preparation and submission of progress and close out reports to funders, including data analysis and impact metrics.
    • Data collection and evaluation: Supporting program staff with collecting data to measure impact and evaluating the effectiveness of grant-funded initiatives.
    • Grant management system support: Utilizing systems and software to track grant applications, deadlines, reporting requirements, and funder communications.

    Operations Support

    • General administration support: Support the development of internal workflows and administrative and operational processes. Manage and oversee projects to improve CA FWD operational systems, including working with IT and other consultants.
    • Systems support: Provide and oversee technical training and management of administration and technical systems for CA FWD staff.
    • Document Management: Manage documents and production of materials for meetings and events; conducting basic research as needed; assisting in preparing, proofing, and formatting documents to ensure company branding and document management systems are used and maintained appropriately.
    • Events, Travel, and Logistics: Assist with event production and planning including travel arrangements and logistics, catering, room set-up, supplies, and other needs, including for the California Economic Summit.
    • HR support: Assisting with on-and-offboarding of new employees.
    • Other duties as assigned.

    Qualifications

    • Bachelor’s degree
    • A minimum of 5 years of non-profit grants, administration, and operations experience
    • California Resident
    • Grant and program budgeting skills
    • Excellent communication and interpersonal skills, including as part of a fully remote team
    • Ability to work independently
    • Fluency in Microsoft Office, (Word, Excel, and PowerPoint); Box or equivalent project and document management systems; Asana; CVENT preferred but not required
    • Strong task and time management skills and the ability to multitask.
    • Ability to work flexible hours as required.
    • Ability to travel within California when necessary, including to quarterly in-person staff retreats and the California Economic Summit.
